Spektrum seeks a skilled Training and Scheduling Coordinator to support NATO NCIA-related courses in Oeiras, Portugal. You will coordinate course iterations, manage schedules, and provide front-line support to instructors and participants, using TMS/EBA systems and ensuring timely data and logistics for complex programs.

Ideal candidates have 3+ years in education/training environments, strong organizational skills, and experience with enterprise systems.

Qualificações

• Minimum 3 years' progressively responsible experience in an education/training facility or NATO/international organization training department.
• Experience managing complex scheduling and resource allocation in academic or training environments.
• Proficiency with enterprise systems (TMS, EBA, ERP/financial tools) including data entry and records management.
• Strong customer service skills across internal and external stakeholders.
• Ability to manage multiple, competing demands in a fast-changing environment.
• Solid administrative/organizational skills—logistics, scheduling, high-volume operations.

Responsabilidades

• Provide first-line support to training coordinators, instructors and students.
• Coordinate course iterations daily and adjust to the Academy schedule.
• Advise on course iteration requests and scheduling, gather requirements, identify learning solutions.
• Coordinate real-life and technical support for course delivery in Oeiras and remote locations (AV/network, security, facilities).
• Administer course scheduling, resources and funding within TMS and EBA, ensuring data quality.
• Support planning and management of the overall Academy course schedule.
• Coordinate events including conferences, symposiums, workshops and visits.
• Contribute to development of the NCI Academy Cyberspace Learning Catalogue.
• Onboard instructors and in-process students/event participants.
