Movu Robotics, part of the stow Group, is seeking a Customer Service Administrator to support customers and internal stakeholders by ensuring accurate processing of orders, deliveries, spare parts, and invoicing. You will play a key role in maintaining excellent customer service while supporting day-to-day operations.

You will enter orders in SAP, coordinate with warehouse for deliveries and transport planning, handle quotations and confirmations, and manage inquiries related to orders,

Qualificações

• Experience providing administrative support in an industrial B2B setting.
• Bachelor’s degree required.
• Proficient with MS Office; SAP and Salesforce knowledge is a plus.

Responsabilidades

• Enter and manage orders in SAP and coordinate with warehouse for deliveries.
• Communicate with customers regarding orders, deliveries and invoices.
• Manage spare parts inventory and inform Demand/SC about shortages.
• Ensure accurate invoicing and prepare credit notes; follow up on overdue invoices.
• Support QSHE standards and Lean initiatives across the organization.

Job Description

As a Customer Service Administrator, you will be responsible for supporting customers and internal stakeholders by ensuring the accurate processing of orders, deliveries, spare parts, and invoicing activities. You will play a key role in maintaining excellent customer service while supporting the efficient day‑to‑day operation of the business.

Key Responsibilities

Order Management

• Entering and managing orders in SAP.
• Coordinating with the warehouse regarding deliveries and transport planning.

Customer Communication

• Creating order quotations and order confirmations.
• Managing customer inquiries related to orders, deliveries, and invoices.

Spare Parts Management

• Ensuring safety stock levels are aligned with demand.
• Informing the Supply Chain team of any deviations or potential shortages.

Invoicing and Credit Management

• Ensuring timely and accurate invoicing.
• Preparing credit notes.
• Following up on overdue invoices.

Quality, Safety & Compliance

• Responsible for ensuring everyone works safely and according to stow's QSHE standards to ensure all work is completed in a safe, efficient, and qualitative manner.
• Ensuring all activities and processes comply with QSHE standards, policies, work instructions, and local legislation.
• Supporting Lean principles and continuous improvement initiatives throughout the organization.

The position is with Movu Robotics; however, the employment contractual agreement will be made with stow Ovar.

Qualifications

• You have experience in administrative supporting tasks in an industrial B2B environment.

• You possess relevant bachelor’s degree.

• You are a computer literate and you canwork with MS office applications. SAP and Salesforce knowledge are advantageous.

• You feel comfortable of communicating to customers in English. French is an added advantage.

• Experience in spare parts, service operations, installed‑base management, or after‑sales support is considered an advantage.

• You are willing to travel sometimes to our headquarters in Belgium

• Be administrative, organizational, and commercially skilled.

• You go the extra mile, solving problems with a proactive and creative mindset.
