About the Role
We’re looking for a highly organised, AI-enabled Marketing Operations & Events Specialist to act as an embedded extension of a Northern Europe B2B marketing team.
This role sits at the centre of guest‑facing event communications, registration operations, stakeholder coordination, and reporting. You’ll own the attendee journey from first invitation through to post‑event follow‑up, ensuring every guest receives the right message, at the right time, through the right workflow.
The ideal candidate combines strong marketing operations discipline with a proactive, automation‑first mindset. You’ll be comfortable managing complex guest data, building segmented communication streams, coordinating with PMMs and Sales leads, troubleshooting registration issues, and using AI tools to scale high‑quality execution across multiple markets.
What You’ll Own
Guest List Management & Registration Operations
- Owning guest nomination timelines and ensuring all attendee data is ready for scheduled communication waves.
- Managing guest list updates, registration logic, and data accuracy across markets.
- Segmenting audiences by tier, including General, VIP, C‑Level, LCS, and GCS groups.
- Ensuring each audience segment receives the correct invitation journey, landing page, and follow‑up stream.
- Acting as the operational point of contact for manual guest requests, priority updates, and registration troubleshooting.
Event Communication Campaign Execution
- Drafting, adapting, and finalising email and web copy using established templates and AI‑assisted copywriting workflows.
- Maintaining a consistent executive tone across all guest‑facing communications.ll
- Managing multi‑wave email campaign setup, testing, QA, and deployment.
- Conducting HTML test sends and validating links, visuals, audience logic, landing pages, and registration flows.
- Coordinating launch timelines with internal stakeholders to ensure campaigns go live accurately and on schedule.
VIP & Executive Guest Experience
- Building and maintaining separate RSVP journeys for VIP, C‑Level, and executive audiences.
- Creating tailored communication tracks for senior guests.
- Supporting leadership and internal stakeholders with personalised outreach templates.
- Preparing bulk‑sender sheets and invitation assets for relationship‑led outreach.
- Ensuring executive communications feel premium, relevant, and timely.
AI, Automation & Process Efficiency
- Using AI tools and agents to accelerate invitation, reminder, landing page, and follow‑up copy production.
- Refining prompts, templates, and repeatable workflows to improve speed and consistency.
- Maintaining a central steering dashboard with real‑time visibility into registrations across markets.
- Reducing ad‑hoc data requests by creating clear, accessible reporting views.
- Documenting operational processes, including RSVP logic, dashboard formulas, campaign setup steps, and QA requirements.
Post‑Event Follow‑Up & Sales Enablement
- Coordinating post‑event newsletters and attendee communications.
- Managing survey distribution and collating attendee feedback.
- Supporting internal reporting on attendance, engagement, and feedback themes.
- Providing Sales teams with follow‑up templates, commercial resources, and event recap materials.
- Helping translate event attendance into meaningful pipeline and customer engagement opportunities.
How You’ll Work
- Participate in team meetings, planning sessions, and workspace communications in English.
- Partner closely with PMMs, Sales leads, event stakeholders, and regional marketing teams.
- Keep timelines, dependencies, and risks clearly visible.
- Bring structure to complex, fast‑moving event workstreams.
- Maintain clear documentation so processes can scale across a multi‑market event series.
What We’re Looking For
- Experience in marketing operations, event marketing, campaign operations, or B2B field marketing.
- Strong project management skills and the ability to manage multiple timelines at once.ll
- Experience working with segmented audience lists and registration workflows.
- Excellent attention to detail across data, copy, campaign setup, and QA.
- Confidence working with senior stakeholders and executive‑facing communications.
- Strong written English and the ability to adapt copy for different audience levels.
- Familiarity with email campaign tools, landing pages, dashboards, spreadsheets, and registration platforms.
- A proactive approach to automation, AI tools, and process improvement.
- Comfort working in a fast‑paced, multi‑market environment.
