Job summary

Universal Investment in Kraków is seeking a tax professional to lead withholding tax (WHT) processes and related tax operations. You will act as the main liaison with custodians, tax advisors, and internal teams to ensure timely and accurate delivery of WHT, FATCA/CRS, and related tax documentation.

The role requires strong organizational skills, English fluency (German a plus), and a proactive, solution-oriented mindset.

Your tasks and responsibilities:

• Prepare, review and submit Relief at Source documentation to custodians
• Oversee documentation status and maintain system settings
• Prepare, review and submit FATCA/CRS documentation
• Act as the key contact for external stakeholders (Custodians, Tax Advisors, Tax Authorities, Asset Managers and other Management Companies) and internal teams to ensure efficient delivery of tax-related processes
• Manage and coordinate all requests related to Withholding Tax (WHT) matters
• Coordinate data collection and delivery for Capital Gains Tax-related processes
• Support and resolve Tax Advisor requests, including preparation and validation of required data
• Perform and oversee reconciliations of pending tax reclaim positions
• Review and validate invoices received from external service providers
• Support audit activities by providing documentation and subject matter expertise
• Prepare, monitor and present KPI reporting
• Coordinate team workload, priorities and escalations to ensure timely delivery of objectives
• Identify opportunities for process improvements and contribute to the enhancement of operational efficiency and controls
• Support knowledge sharing and development within the team, acting as a subject matter expert in tax-related processes

Your skills and experience:

• University degree and proven experience in Withholding Tax (WHT) processes, preferably within the financial services or asset management industry
• Proactive and solution-oriented mindset with a strong sense of ownership
• Ability to adapt to changing priorities while maintaining high quality standards
• Continuous improvement mindset and willingness to challenge and optimize existing processes
• Strong organizational and stakeholder management skills, with the ability to manage multiple priorities and deadlines
• Strong communication and escalation management skills
• Ability to drive process improvements and support team development
• Fluency in English; German would be a strong advantage
• Solid command of MS Office
