The Senior Lease Analyst is a vital member of the Lease Administration Team, working directly under the EMEA Lease Administration Lead. This role is essential for managing and enhancing team processes, procedures, and various administrative and business development tasks. The ideal candidate will demonstrate exceptional organisational skills, attention to detail, and the ability to multitask in a fast-paced environment.
Lease Analysts within the Occupier Services team have responsibility for the management of client real estate information and for assisting their corporate clients directly in the management of their real estate, through web-based software solutions. They are responsible for maintaining client relationships and supporting the transactional teams through the provision of information.
Job Duties & Responsibilities
1. Process and Procedure Organisation and Support:
- Assist in the effective management and updating of team processes and procedures.
- Develop, maintain, and enhance in-house materials.
- Collect, record, analyse and prepare relevant documents.
2. Tool Box Set-Up Maintenance:
- Maintain a toolbox of best-in-class tools, templates, and forms to support the team.
- Research and routinely gather and compile competitor information
- Develop and enhance dashboards and reports to visualize key metrics to the client
- Provide analytical support for clients
- Present findings and recommendations to various levels of stakeholders
- Stay current with industry trends and best practices
3. Client and Internal Team Experience Coordination:
- Support the coordination of lease administration and digital experience for an integrated client experience.
- Maintain the client contract database and ensure accuracy and timeliness of information.
- Contribute to the development of analytical models
4. Lease Administration Database Management:
- Maintain the lease administration databases being utilised, resources with experience in each solution/platform
- Maintain list of user IDs and security access/permissions for each database
- Perform and or oversee full or partial portfolio audits to ensure that client data is accurate
5. CRM and Business Development Administrative Support
- Maintain input in CRM for business development activities.
- Track and update business development pursuits and client interactions alongside EMEA Head of Lease Administration.
- Abstract client contracts into database, monitor fee schedules for leadership evaluation (proactively monitor fee adjustments)
6. Coordinate Training and Team Development Initiatives
- Foster a culture of continuous learning by organising lunch and learn sessions and training for lease administration and lease audit team members.
7. Resource Management:
- Compile team-wide client resource assignments and manage all client portfolio data for quarterly updates alongside EMEA Lease Administration Lead.
- Deliver quarterly reporting to management for analysis and decision-making.
8. Additional Responsibilities
- Undertake additional responsibilities as assigned by the Company from time to time.
Qualifications:
- Minimum of 5 years of experience in operations analysis, lease administration, or a similar role.
- Practical experience with IFRS 16.
- Advanced Microsoft Office skills (Word, Excel, PowerPoint).
- Excellent organisational and time management skills.
- Strong analytical and problem-solving abilities.
- Exceptional communication and interpersonal skills.
- Ability to work independently and as part of a team.
- Very good English skills (cooperation on daily basis with international team members & clients)
Desired Skills:
- Knowledge of lease administration, financial management and audit processes.
- Familiarity with digital tools and platforms for enhancing client experience.
- Proven ability to develop and maintain effective working relationships with stakeholders at all levels.
