Job summary

Universal Investment is hiring in Kraków for a PMO/Portfolio Coordinator role to drive governance and delivery across multiple projects. You will maintain plans, manage budgets, and report KPIs to senior management, ensuring adherence to PM standards.

You will coordinate governance forums, coach project teams, and push continuous improvement across PMO processes while liaising with business, IT, and external partners. English fluency is required; German is a plus.

Qualifications

• 5+ years of experience in a PMO, project coordination, or project management support role.
• Working knowledge of PRINCE2, PMP, or Agile/Scrum.
• Proficiency with PM tools (MS Project) and strong Excel reporting skills.
• Fluency in English; German is an advantage.

Responsibilities

• Maintaining project and programme plans, timelines, budgets, and risk/issue logs across the portfolio.
• Consolidating and reporting project status, financials, and portfolio KPIs to senior management.
• Developing, maintaining, and promoting adherence to PM methodologies, templates, and governance standards.
• Monitoring dependencies and interdependencies across multiple concurrent projects.
• Coordinating project governance forums – agendas, minutes, and action tracking.
• Supporting project managers and sponsors with tools, coaching, and best-practice guidance.
• Driving continuous improvement of PMO processes and PM maturity across the organization.
• Liaising with stakeholders across business, IT, and external partners on project delivery matters.

Your tasks and responsibilities:

Portfolio & Governance area:

Your skills and experience:

• Bachelor's or Master's degree in business administration, finance, or a related field
• 5+ years of experience in a PMO, project coordination, or project management support role
• Working knowledge of project management methodologies (PRINCE2, PMP, or Agile/Scrum)
• Proficiency with PM tools (e.g.MS Project) and strong Excel/reporting skills
• High interest in the financial services and funds industry sector
• Problem-solving skills and ability to explain complicated concepts clearly
• Fluency in English; German is an advantage
