Magnum Ice Cream Co. Warsaw is seeking a Payroll SME to act as the key liaison between our payroll vendor(s) and the business across the Nordics and Lithuania, ensuring accurate, timely, and compliant payroll processing in a multinational environment.

You will oversee end-to-end payroll operations, ensure SOX-compliant governance, collaborate with HR, Finance and Legal, and drive continuous improvement of payroll processes and controls.

Qualifications

  • Bachelor’s degree in HR, Finance, Business Administration, or a related field.
  • 2+ years of payroll operations experience in a multinational environment.
  • Experience managing international or multi-country payrolls, preferably across Nordics and/or Baltic region.
  • Solid understanding of payroll processes, vendor management, statutory compliance, and audit requirements.
  • Experience with external payroll providers (e.g., EY, ADP, SD Worx).
  • Strong knowledge of SOX controls, payroll governance frameworks, and risk management practices.
  • Advanced Excel skills and familiarity with payroll systems; Workday experience is an advantage.
  • Excellent communication and stakeholder management skills across regions and levels.
  • Fluent English (mandatory); Nordic language knowledge is a plus.

Responsibilities

  • Vendor management: be primary contact for payroll vendors and manage service delivery.
  • Oversee end-to-end payroll processing for Nordics and Lithuania with accuracy and timeliness.
  • Ensure compliance with local laws, tax rules, social security, and internal audits including SOX.

This role serves as the regional subject matter expert for payroll operations, driving operational excellence, strengthening governance, and ensuring full alignment with internal controls and local statutory requirements.The position requires strong **payroll expertise**, deep knowledge of payroll legislation and compliance requirements, and the ability to operate effectively in a complex, multinational environment.**What you'll be responsible for**### **Vendor Management*** Serve as the primary point of contact for payroll vendor(s) for operational queries, escalations, and service delivery matters.* Coordinate regular governance meetings and drive timely issue resolution.* Monitor vendor performance and ensure adherence to SLAs, KPIs, and quality standards.* Provide payroll expertise and guidance to vendors on complex payroll scenarios and compliance-related matters.### **Payroll Operations*** Oversee end-to-end payroll processing for the Nordic countries and Lithuania, ensuring accuracy, compliance, and timely delivery.* Ensure accurate payroll inputs, approvals, and timely submissions.* Review and validate payroll outputs, including gross-to-net calculations, statutory deductions, and reporting.* Act as the payroll subject matter expert for employee lifecycle events, compensation changes, benefits administration, and payroll-related inquiries.### **Compliance & Controls*** Ensure payroll processes comply with local labor laws, tax regulations, social security requirements, and internal audit requirements, including SOX controls.* Actively support payroll-related audits, wage tax reviews, and statutory reporting in collaboration with vendors.* **Maintain strong governance and ensure robustness of payroll controls across all supported countries.*** Monitor legislative and regulatory changes and ensure timely implementation within payroll processes.### **Stakeholder Collaboration*** Partner closely with HR, Finance, Legal, and external providers to ensure payroll accuracy, compliance, and policy alignment.* Collaborate with Finance on reconciliations, accruals, audit requirements, and payroll reporting.* Act as a trusted advisor on payroll-related topics, supporting stakeholders with expert guidance and recommendations.### **Continuous Improvement*** Identify and implement process improvements to enhance payroll accuracy, efficiency, scalability, and employee experience.* Support payroll system enhancements, automation initiatives, and change management projects.* Contribute to the standardization and harmonization of payroll processes across the region.* Drive best practice sharing and continuous improvement initiatives within the payroll function.**We're looking for someone who*** Bachelor’s degree in HR, Finance, Business Administration, or a related field.* Minimum **2+ years of experience** in payroll operations within a **multinational environment**.* Proven experience managing **international or multi-country payrolls**, preferably across the Nordics and/or Baltic region.* Solid understanding of payroll processes, vendor management, statutory compliance, and audit requirements.* Experience working with external payroll providers (e.g., EY, ADP, SD Worx).* Strong knowledge of SOX controls, payroll governance frameworks, and risk management practices.* Advanced Excel skills and familiarity with payroll systems and tools (Workday experience is an advantage).* Excellent communication and stakeholder management skills, with the ability to interact effectively across regions and levels of the organization.* Strong analytical and problem-solving capabilities.* Fluent English (mandatory).
