Job summary

DKSH Poland in Warsaw is seeking a Specialist, Sales Support to drive seamless order management and sales operations. Based in Warsaw, you will enable commercial excellence through precise day-to-day execution and cross-functional coordination.

You will support the Sales Manager, process orders end-to-end, maintain SAP master data integrity, and handle Polish and English inquiries with a professional approach. The role includes hybrid work options and a central Warsaw location.

Qualifications

• Professional qualification in commercial or trading disciplines.
• 8–10 years of experience in purchasing, sales administration or customer service.
• Experience in distribution, trading or export/import environments.
• Strong knowledge of supply chain operations and best practices.
• Proficiency with Microsoft Excel, Word and PowerPoint; SAP and Salesforce familiarity advised.
• Fluency in Polish and English (written and spoken).
• Precise, organized and customer-oriented with proactive and reliable working style.

Responsibilities

• Support the Sales Manager in day-to-day operations with timely commercial and administrative coordination.
• Manage end-to-end order processing from confirmation to delivery.
• Follow up on purchase and sales orders to ensure accuracy and on-time fulfillment.
• Obtain price offers from suppliers and prepare competitive customer proposals with the Sales Manager.
• Coordinate with forwarding companies and warehouses on logistics, pricing and locations.
• Respond to customer and supplier queries in Polish and English in a timely, professional manner.
• Maintain SAP master data integrity and ensure VAT compliance for purchases and sales orders.
• Monitor stock reorder levels, coordinate sample dispatch, and maintain a customer complaints log with timely follow-up.

About The Role

The Specialist, Sales Support, drives seamless order management and sales operations across DKSH Poland. Based in Warsaw, this role enables commercial excellence through efficient and precise day-to-day business execution.

What You Will Deliver

• Support the Sales Manager in day-to-day business operations, providing timely commercial and administrative coordination
• Manage end-to-end order processing, including order confirmation, transmission, and supervision through to delivery
• Follow up on purchase and sales orders to ensure accuracy, compliance, and on-time fulfillment
• Obtain price offers from suppliers and calculate competitive customer proposals in consultation with the Sales Manager
• Coordinate with forwarding companies and warehouses on logistics, pricing, and locations
• Respond to customer and supplier queries in Polish and English, ensuring professional and timely resolution
• Maintain SAP master data integrity and ensure legal conformity of Value Added Tax (VAT) transactions for both purchase and sales orders
• Monitor stock reorder levels, coordinate sample dispatch, and maintain a customer complaints log with timely follow-up

What You Bring

• Professional qualification in commercial or trading disciplines
• 8 to 10 years of experience in purchasing, sales administration, or customer service
• Prior experience in distribution, trading, or export/import environments
• Strong knowledge and understanding of supply chain operations and best practices
• Proficiency in tools including Microsoft Excel, Word, and PowerPoint; familiarity with SAP and Salesforce preferred
• Fluency in Polish and English, both written and spoken

The estimated annual base salary for this position is PLN 120,000. Actual salary will be determined based on education, experience, qualifications, skills, and geographic location.
