Job summary

Flex Wind is seeking a Commissioning Site Assistant to support offshore operations from Poland. You will coordinate crew logistics, maintain personnel data, and handle administrative processes on the vessel, working with site teams, vessel operators, and external stakeholders.

The role requires you to have strong MS Office skills, excellent organisation and multitasking abilities, and fluent English. Offshore environment experience is a plus, with travel and accommodation arrangements provided

Qualifications

• Minimum 2 years’ experience in an administrative role.
• Fluent English (spoken and written).
• Strong MS Office skills.
• Good organisational and multitasking abilities.
• Ability to work in a dynamic, offshore environment.
• Strong communication and stakeholder management skills.

Responsibilities

• Coordinate crew changes in cooperation with vessel operators.
• Manage manifests and in-field personnel transfers.
• Create and maintain project resource plans.
• Support personnel welfare onboard and ensure efficient working conditions.
• Liaise with vendors, suppliers, shipping agents, and contractors.
• Organise travel arrangements, including compassionate travel when required.
• Maintain personnel records, certificates, timesheets, and absences.
• Input and manage data in client offshore management systems.
• Support document control (uploading contracts, documentation handling).
• Manage commissioning-related purchases and track costs.
• Coordinate onboarding, visitors, and inductions.
• Support event planning and general site administration.
