Role Overview:

We are seeking an experienced, high-caliber, and tech-savvy Virtual Assistant to act as a hybrid Marketing Manager and Executive Assistant for a premier high-performance business coaching practice.

In this role, you will be the engine behind both our client-facing content distribution and our backend operations. You are a unique hybrid: a creative visual storyteller in Canva, a technical automation strategist in GoHighLevel (GHL), an experienced content manager across YouTube, Substack, and Pinterest, and an impeccably organized administrator who keeps digital workspaces flawless. You understand how to maintain systems that attract, nurture, and convert high-level business owners ($500k–$5M revenue) while keeping the daily operations of the business running like clockwork.

• The Target Audience: Established business owners and CEOs generating $500K to $5M. They do not want fluffy motivation; they need strategic scaling, operational leverage, and a major leadership mindset shift to step into their 7-Figure CEO persona.

Key Responsibilities:

1. Funnel & CRM Automation (GoHighLevel - Core)

• Build, update, and optimize landing pages, lead capture forms, and sales funnels within GHL.
• Manage backend automation: set up workflows, email triggers, and SMS nurture sequences for webinars, strategic workshops, and quiz funnels.
• Maintain impeccable CRM hygiene: tag leads accurately, track pipelines, and generate weekly data reports.

2. Expanded Content Distribution & Scripting

• YouTube: Edit or coordinate the editing of long-form video content and YouTube Shorts. Write highly engaging, SEO-optimized titles, descriptions, and timestamps. Manage channel publishing and community engagement.
• Substack: Own the formatting and distribution of weekly long-form articles/newsletters. Ensure high readability, clean branding, and strategic links back to GHL funnels or booking pages.
• Pinterest: Design high-converting, click-worthy visual Pins in Canva. Write SEO-optimized descriptions and titles to drive organic traffic back to Substack articles, landing pages, and the main website.
• Core Social Media: Repurpose long-form video/audio into social carousels, reels, and written posts for LinkedIn, Instagram, and Facebook.
• Develop high-end, cohesive, on-brand graphic templates for Pinterest Pins, YouTube Thumbnails, Substack headers, and social media feeds.
• Create digital workbooks, presentation slides, and lead magnet PDFs that reflect a high-caliber brand.
• Google Workspace Mastery: Audit, clean, and systematically organize Google Drive files and folders to ensure team-wide accessibility and seamless asset location.
• Communication & Calendar Management: Oversee and filter email inbox outreach; manage calendar booking links, resolve scheduling conflicts, and protect the founder's time for high-leverage coaching.
• Workflow Automation: Assist in setting up and managing digital workflows, task tracking (e.g., via Asana, Trello, or ClickUp), and automated assistants to keep professional deliverables on track.
• Team & Project Coordination: Act as a central point of contact to ensure administrative tasks flow smoothly between internal team members and associates.

Required Skills & Qualifications:

• Platform Mastery: Advanced, proven experience using GoHighLevel (GHL) and Canva.
• Omnichannel Experience: Demonstrable track record managing and growing YouTube channels, Substack publications, and Pinterest business accounts for B2B or high-ticket coaching brands.
• SEO Copywriting & Scripting: Ability to write compelling, high-converting copy (video scripts, pins, newsletters) that matches a specific, direct, high-performance tone.
• High-End Digital Organization: Exceptional skills in Google Workspace optimization, email gatekeeping, and task delegation tracking.
