Job summary

Qualifications

• 3-5 years of meeting planning experience with at least 2 years supporting pharma meetings with Healthcare Professionals (HCPs) attendance of 100+ delegates.
• Pharma Congress experience required (e.g., ASCO, ESMO).
• Fluency in English and German required.
• 4-year degree preferred; CMP designation highly preferred.

Responsibilities

• Create and manage project timelines with client and suppliers.
• Run the program from contract turnover to final bill using the program management system.
• Negotiate hotel, congress, DMC, air and third-party contracts; monitor attrition and cancellation policies.
• Coordinate site inspections as needed.
• Produce a program itinerary detailing all specifics and requirements.
• Support high-profile, confidential, international congress meetings.
• Maintain proactive communication to ensure client happiness and clear expectations.
• Collaborate with third-party suppliers for services.
• Forecast programs accurately and update financial systems.
• Travel may be required up to 40% for site inspections and operations.
