Job summary

FairWind is seeking a Fleet Specialist to coordinate vehicle availability, rentals and fleet utilization across Poland and abroad. You will support project teams and operations, ensuring cost-effective, safe and compliant fleet activities.

The role requires hands-on problem solving, strong organizational skills, and a proactive attitude. English communication and a category B driving licence are essential for success in this international environment.

Qualifications

• Experience in administration, logistics, fleet management or another coordination-focused role.
• Strong organizational and planning skills.
• A proactive, hands-on approach and problem-solving mindset.
• The ability to manage multiple tasks and priorities simultaneously.
• Good communication skills and confidence working with different stakeholders.
• Basic technical understanding of vehicles.
• Good knowledge of MS Office, especially Excel.
• Communicative English.
• A Category B driving licence.
• The ability to thrive in a dynamic international environment.

Responsibilities

• Managing vehicle requests for employees and external contractors.
• Coordinating vehicle rentals and supporting efficient fleet utilization.
• Working closely with Project Managers, Coordinators and operational teams across the business.
• Monitoring fleet-related costs and supporting invoice verification and allocation.
• Coordinating vehicle maintenance, repairs and servicing in Poland and abroad.
• Supporting vehicle handovers and ensuring proper documentation and compliance.
• Maintaining fleet records and ensuring data accuracy.
• Supporting GPS tracking systems and fleet reporting.
• Cooperating with external suppliers and rental providers.
• Identifying opportunities to improve fleet processes and daily operations.
• Helping ensure company vehicles remain safe, compliant and operationally ready.
