Job summary

Embla Medical in Szczecin, Poland seeks a Fleet Operations Specialist to coordinate our multi-country vehicle fleet (employee cars, sales, clinics, pool cars). You’ll ensure orders, tracking, maintenance, returns, and reporting are accurate, while delivering a service‑driven employee experience.

Collaborating with HR, Finance, Payroll, clinics, and suppliers, you’ll maintain fleet data in Excel and future systems, monitor costs, and escalate issues to enforce cross-country compliance.

Qualifications

• Experience in fleet coordination or lease administration.
• Understanding of vehicle lifecycle and supplier coordination.
• Strong data management and Excel skills.

Responsibilities

• Coordinate the full vehicle lifecycle from ordering to offboarding.
• Serve as central point of contact for employees, drivers, sales teams, clinics, and teams on fleet topics.
• Collaborate with leasing companies, maintenance providers, insurers, and fuel/charging partners.
• Track quotes, approvals, repairs, invoices, and service delivery.
• Maintain fleet data in Excel and future fleet systems.
• Monitor costs and ensure cross-country fleet processes are compliant.
