Job summary

Visit.org is seeking an experienced Freelance Event Specialist for on-site, per-event work in Wroclaw, Poland. You will manage logistics, coordinate materials, staff, and guest experience at live events, acting as the on-ground Visit.org representative.

The ideal candidate has corporate event experience, is highly organised, excels under pressure, and can travel locally. This role offers flexible hours, weekend availability, and potential for recurring freelance engagements with Visit.org.

Qualifications

• Fluent in English with strong communication skills.
• Based in Wroclaw, Poland with willingness to travel locally.
• Experience coordinating corporate events and large-scale gatherings.
• Capable of working flexible hours, including nights/weekends.

Responsibilities

• Coordinate event details, ship materials, and staff for each event.
• Join planning meetings with partners and organizers ahead of events.
• Set up on-site, align with the on-site team, tear down and restore spaces.
• Be the Visit.org representative, leader, and problem solver at events.
• Manage check-in and greet guests warmly.
• Escalate issues to the Events Team when needed.
• Provide updates and media (photos/videos) to Events Team during events.
• Pack and ship materials back to the distribution center after events.
