Job summary

JLL is seeking an EMEA E-Prep EHS Admin to coordinate Emergency Preparedness initiatives across multiple countries. You will manage documentation, drills, site compliance, and reporting dashboards within global facilities management tools.

This role offers exposure to regional teams and the chance to develop in emergency management. This on-site position in Warsaw requires a proactive, organized professional with strong English communication and MS Office skills to drive continuous improvement

Qualifications

• Bachelor's degree or equivalent in Health & Safety, Facilities Management, Emergency Management, or related field.
• 1–3 years of experience in EHS administration, emergency preparedness, or facilities coordination.
• Knowledge of emergency preparedness regulations and standards in EMEA.
• Experience with facilities management or EHS reporting tools.

Responsibilities

• Coordinate and schedule emergency drills (fire, evacuation, shelter-in-place, tabletop) across EMEA sites.
• Maintain and update Emergency Preparedness documentation (ERMs, EAPs, floor plans, contact lists).
• Monitor site compliance and escalate gaps to regional EHS managers.
• Support maintenance and accuracy of E-Prep dashboards and reports.
• Track corrective actions from drills, audits, and inspections through closure.
• Coordinate Fire Marshal/Warden and First Aider programmes; manage training records.
• Assist with E-Prep audits, inspections and risk assessments.
• Liaise with site teams to ensure equipment inspections are current and documented.
• Prepare regular E-Prep status reports and KPI summaries for leadership.
• Support review and closure of E-Prep work orders in FM systems.
