Job summary

Ashland Ingredients Poland sp. z o.o. seeks a Customer Service Representative in Warsaw. The role is hybrid and reports to Customer Service Supervisor, within the Supply Chain function. You will manage orders end-to-end and serve as the main contact for customers.

Key tasks include coordinating with Planning, Warehousing, Logistics, and Forwarders, ensuring compliant shipping documents, and maintaining SAP master data. Strong English and prior customer service experience are essential.

Qualifications

• English language skills required (written and spoken).
• Minimum experience in Customer Service or related areas.
• Strong communication and detail-orientation.
• Proficient with Microsoft Windows applications.

Responsibilities

• Manage sales orders end-to-end in SAP.
• Primary contact for customers regarding orders, deliveries, and docs.
• Coordinate with Planning, Warehousing, Logistics, and Forwarders.
• Ensure shipping and regulatory docs are accurate.
• Handle order exceptions and delays, escalate when needed.
• Support credit/debit note processing with Finance and Sales.
• Maintain master/order data in SAP and related systems.
• Communicate professionally with customers with timely responses.

Ashland has an exciting opportunity for a Customer Service Representative to join our Ashland Ingredients Poland Sp. z o.o. business at our Warsaw, Poland site. This is a very visible, significant role within the Company and the Supply Chain function. This position will report to Customer Service Supervisor. This is a hybrid role.

The responsibilities of the position include, but are not limited to, the following:

• Manage sales orders end-to-end (order entry, confirmation, changes, delivery coordination, and billing) in SAP
• Serve as the primary point of contact for assigned customers regarding orders, deliveries, and documentation
• Coordinate with Planning, Warehousing, Logistics, and External Forwarders to ensure on-time and compliant shipments
• Ensure accuracy of shipping, commercial, and regulatory documentation (e.g. Invoice, DN, CMR, CoA, export documents)
• Proactively manage order exceptions, delays, short shipments, and damages, escalating when needed
• Support credit/debit note processing in cooperation with Finance and Sales
• Maintain accurate master data and order data in SAP and related systems
• Handle customer communications professionally, ensuring timely and clear responses
• Contribute to process improvements, standardization, and knowledge sharing within the team
• Ensure compliance with EHS, SOX, and internal control requirements

In order to be qualified for this role, you must possess the following:

• Language skills: English written and spoken
• Previous experience in Customer Service or related areas
• Customer service-oriented attitude
• Excellent communication skills
• Experienced in using Microsoft Windows applications
• Ability to work in a fast-paced environment with complex business scenarios
• High level of attention detail and strong problem-solving skills
• Solid compliance and process management skills
• Demonstrated responsible and ethical behavior at all times
• The ability to help the company drive greater value through understanding the business, making complex decisions and creating the new and different

• Experience with ERP Systems preferably SAP
