Job summary

Ashland Ingredients Poland sp. z o.o. in Warsaw is seeking a Collection Specialist to join the Finance team.

This temporary, hybrid role reports to the Collection Supervisor and involves daily collection activities, monitoring overdue payments, and coordinating with Sales and Credit Analysts. Ideal candidates have strong English communication, SAP/ERP knowledge, and SOX familiarity, with the ability to work 9:00–17:00 and visit the office every two weeks.

Qualifications

• Strong written and verbal communication skills

• Knowledge of ERP systems; SAP experience is a plus
• Knowledge of SOX controls
• Availability to work 9AM–5PM with office presence every two weeks

Responsibilities

• Perform daily collection activities to ensure customer settlement within agreed payment terms
• Monitor accounts to identify overdue payments
• Investigate historical data for each debt or account
• Unapplied cash and credit note allocation; secure clean customer accounts
• Maintain and control a dedicated portfolio of credit customers
• Assist Cash Application to identify payments
• Maintain customer credit collection information in SAP
• Coordinate with collecting agencies and lawyers for own portfolio
• Coordinate disputed items with other departments
• Provide account statements to customers
• Support in paying out credit notes to clients
• Ensure compliance with SOX controls
• Collaborate with Sales, Customer Service and Credit Analysts for order releases on overdue invoices
• Provide cover for other team members during absence
• Support Letter of Credit processes and Cash Against Documents as needed

Ashland has an exciting opportunity for a Collection Specialist to join our Ashland Ingredients Poland Sp. z o.o. business at our Warsaw site. This is a very visible, significant role within the Company and the Finance function. This position will report to Collection Supervisor. This is a temporary position in a hybrid model.

The responsibilities of the position include, but are not limited to, the following:

• Perform daily collection activities to ensure customer settlement of outstanding within agreed payment terms
• Monitoring accounts to identify overdue payments
• Investigate historical data for each debt or account
• Unapplied cash and credit note allocation, secure clean customer accounts
• Maintain & Control a dedicated portfolio of credit customers
• Assist Cash Application to identify payments
• Maintain customer credit collection information in SAP
• Control of legal (collecting agency) files, including contact with Collecting Agencies and lawyers for own portfolio
• Coordinate Disputed items with other departments
• Supply account statements to customers
• Support in paying out credit notes to clients
• Ensure compliance with all applicable SOX controls
• Work closely together with Sales, Customer Service and Credit Analysts for order releases on the base of overdue invoices
• Additional specific tasks such as supporting the Letter of Credit process, Cash Against Documents may be assigned as well
• Provide cover for other team members during periods of absence
• All additional collection-related activities

In order to be qualified for this role, you must possess the following:

• Relevant experience or an equivalent combination of education, training, and experience
• Flexible and focused on improvement
• Strong written and verbal communication skills as well as high degree of discretion and tactfulness
• Strong interpersonal skills
• Fluency in English both written and verbal
• Knowledge of ERP systems. SAP experience is a plus. We work with the Financial Supply Chain Module of SAP.
• Knowledge of SOX
• Availability to work hours from 9AM to 5PM with presence in the office once every two weeks

• Demonstrated responsible and ethical behavior at all times

• The ability to help the company drive greater value through understanding the business, making complex decisions and creating the new and different

• This is a temporary position covering for long term absence
