Job summary

Planet is a global provider of integrated technology and payments solutions and is seeking a Billing Specialist in Warsaw to ensure the accuracy and integrity of customer billing data. You will review records, correct data, issue invoices and credit notes, notify customers of changes, and coordinate with ERP teams to prevent discrepancies.

The role requires attention to detail, strong Excel skills, fluent English, and the ability to work in a hybrid office setting in Warsaw.

Qualifications

• Fluent English required; other languages a plus.
• Strong numerical and analytical skills with high attention to detail.
• Experience in Billing or invoicing is preferred.

Responsibilities

• Review customer data across systems and contracts to ensure accurate billing and contact details.
• Correct customer data in the system and issue invoices and credit notes as needed.
• Send customer notifications regarding billing changes and update ERP accordingly.
• Contact customers by phone and email to obtain missing data.
• Track actions and collaborate with Premier and Account Management teams to obtain required information.
• Review outstanding balances and prepare statements of accounts.

Role Overview

Responsible for ensuring the accuracy and integrity of customer billing data across systems. This role reviews, corrects and maintains customer records to support proper invoicing, reduce discrepancies and prevent financial impact.

What you will do

• Review customer data, based on available documentation like contracts, Account Management team or internal systems and make sure the billing and contact details are correct
• Correct customer data in the system upon investigation, including setting up proper invoices and issuing credit notes if necessary
• Send customer notification letters regarding billing changes and implementation of those changes into the ERP
• Contact customers by phone and email regarding missing data
• Track all necessary actions and work with internal Premier and Account Management teams to obtain proper information
• Review customer outstanding balances and providing statement of accounts

• Experience in working as a Billing Specialist or in a similar role within Invoicing area
• Demonstrate ability to multi-task and work at a fast pace
• Demonstrate ownership and independency at work
• Proficient in Microsoft Office applications in particular Excel
• Proficient English is required, Proficient French and/or German are desirable
