Job summary

Hyva in Krakow, Poland, is seeking an Accounts Payable Administrator to support entry-level accounting tasks under supervision. You will process invoices, code and match documents, and assist with payments while maintaining organizational compliance.

• Record daily expenses and process employee expense reports.
• Archive and maintain financial documents (digital and physical).
• Monitor accounts to ensure timely payments.
• Handle vendor inquiries and routine correspondence.
• Assist senior team with reconciliations and month-end close tasks.
• Provide documentation for audits as needed.

Role Overview

The Accounts Payable ADMINISTRATOR performs entry-to-junior level accounting and clerical tasks related to the processing and maintenance of accounts payable transactions under supervision, ensuring accuracy and compliance with company procedures.

Main Tasks and Responsibilities

• Review, verify, sort, code, and match invoices and check requests
• Calculate and post basic business transactions and process entry-level invoices in accordance with SOPs
• Set up invoices for payment and assist in preparing electronic transfers
• Book daily expenses and process employee expense reports
• Scanning, archiving, and maintaining physical and digital financial documents
• Assist in monitoring accounts to ensure payments are up to date
• Support basic vendor correspondence and handle routine inquiries
• Assist senior team members with accounts payable reconciliations and month-end closing tasks
• Provide supporting documentation for internal and external audits as requested

Role Requirements

Objective: Accurate invoice & payment processing.

Educational Level: Diploma / bachelor’s degree in finance, Accounting, or Analytical studies (Mathematics, IT, Technical, etc.).

Relevant work experience may be considered in lieu of formal qualifications.

Relevant Experience: 0–2 years of experience in accounting or administration.

Process Improvement Focus: Ability to follow Standard Operating Procedures (SOPs) accurately.

Leadership Level: Individual Contributor
