Proposal Production Specialist — Desktop Publishing & Document Control

Owns the document itself. Reads the solicitation's format rules, builds the branded template, and produces a compliant, navigable submission: automated table of contents, section and page numbering, cross-references, tables and charts, page-limit compliance, print-ready PDF. Holds version control across every contributor while the deadline stays fixed.

About the work

A bid is a document before it is anything else. It has to be assembled to rules someone else wrote: a page limit that does not bend, a font and margin specification, a required order of sections, a table of contents an evaluator uses to find the thing they are scoring. Miss one and technically excellent work is thrown out unread. This role owns that document.

What you will do

• Read the solicitation's format instructions and turn them into a template before anyone starts writing
• Build and hold that template while several people edit inside it
• Keep the table of contents, section numbering, headers and cross-references correct and automatic
• Place tables, charts and the designer's graphics without breaking the layout
• Watch the page count and say early and plainly when a section will not fit
• Produce the final PDF, check it opens and prints as intended, and package it for submission
• Hold version control across everyone contributing — on submission day there is one current version and you know which it is

Must have

• Microsoft Word to a professional depth: styles, section breaks, automated table of contents and cross-references that survive editing
• Producing print-ready or submission-ready PDFs from a source document
• Working to a fixed page count, style guide or template without breaking it
• Version control across several contributors to an immovable deadline

Nice to have

• US federal or SLED proposal, bid or tender production
• A document management system such as SharePoint, Aconex, Documentum or M-Files
• Adobe InDesign or Acrobat for layout and PDF assembly
• Section 508 or accessibility checking
• Excel for trackers, registers and compliance matrices

What this role is not

This is not graphic design. You will not be asked to invent the artwork — a designer does that, and you place it. If your background is visual design, apply for Proposal Graphic Designer instead.

People who cannot leave an inconsistent heading alone. People who have run document control on an engineering or construction project, produced technical publications, or formatted tenders. People who will tell a director at 2am that their section is over the limit and will not be going in.
