Position Summary
A recently retired Lieutenant Colonel/ Major (from Fighting Arms) is required as The Head of Administration & Security. The incumbent will be responsible for overseeing all administrative support services and security operations of the university campus. This role ensures efficient logistics, smooth campus and Hostels Operations, discipline, vigilance and safety of all personnel, facilities, and visitors.
Eligibility
- Incumbent must at least be a graduate and have served in armed forces
- Not more than one year must have passed post retirement
- Not above 50 years old, medically fit and pleasant personality
- Intelligence Course qualified with experience of serving with intelligence organizations will be preferred
Key Responsibilities
1. General Administration
- Supervise day-to-day Admin operations of the campus support services.
- Oversee office assistants, housekeeping services, cafeteria operations, maintenance teams, and transport staff.
- Ensure administrative readiness, cleanliness, and availability of services across departments.
- Coordinate with procurement departments for space planning, facility setup, and asset deployment.
- Manage and monitor outsourced service providers and verify their compliance and attendance.
- Conducting staff trainings on safety and evacuation measures
- Develop SOPs for staff and conduct awareness / training sessions for implementation of safety and evacuation protocols
- Clearly define and communicate roles and responsibilities for administrative staff and conduct periodic departmental meetings
- Ensure availability of back up personnel for important tasks and events
2. Security Management
- Plan, deploy, and supervise physical and electronic security measures across campus.
- Oversee performance of the guards, monitor CCTV feeds, and manage access control systems.
- Maintain visitor protocols, verify identity documentation, and control site movement of faculty, labor, guests, suppliers and vendors.
- Prepare and implement emergency protocols in coordination with police, civil defense, and Rescue 1122.
- Ensure security readiness for VIPs and foreign dignitary visits.
3. Vendor & Contractor Liaison
- Monitor contractor access, material delivery, and site protocols in coordination with project engineers.
- Maintain records of ID issuance, safety briefings, and gate pass systems (inward/outward) in coordination with the IT Department.
- Assist in vendor onboarding and facility compliance checks.
4. Recordkeeping & Reporting
- Maintain logs for:
- Attendance (staff and vendors)
- Generator operation and energy backup
- Visitor management
- Incident reporting
- Inventory of admin assets
- Submit weekly reports to the senior management on overall administration and security matters.
5. Safety & Emergency Preparedness
- Ensure campus compliance with fire safety, evacuation plans, and first aid readiness.
- Conduct mock drills and safety awareness programs (when campus becomes operational).
- Maintain safety signage, emergency contact lists, and equipment (e.g., extinguishers, fire alarm systems).
Required Skills & Competencies
- Strong organizational and leadership skills
- Familiarity with security technologies (CCTV, access control)
- Excellent documentation and communication skills, must have knowledge and ability to adapt to paper free work environment driven by ERP
- Strong ability to coordinate with law enforcement, government offices, and emergency response agencies.
- Disciplined, vigilant, and responsive under pressure
