Job summary

Zones IT Solutions is seeking a Project Coordinator - Field Service Delivery to support planning, coordination and execution of field deployment projects, working with the Field Management Office, Project Managers and customers to ensure timely communication and accurate records.

The role requires handling ambiguous requests, maintaining deployment schedules, balancing priorities, meeting service-level expectations, and sustaining a high level of customer satisfaction.

Qualifications

• Bachelor's degree preferred.
• Minimum of two years of relevant experience.
• Strong customer service and stakeholder communication skills.
• Excellent organizational skills and process discipline.
• Ability to work through ambiguity and manage multiple competing priorities.
• Excellent verbal and written communication skills.
• Ability to meet demanding deadlines within customer service-level agreements.
• Strong analytical and problem-solving capabilities.
• High proficiency with Smartsheet, Tenrox, FTM, and Microsoft Excel.

Responsibilities

• Manage internal and customer communications to provide timely updates and maintain stakeholder alignment.
• Address customer requests and coordinate follow-through to support prompt resolution.
• Coordinate with the Field Management Office (FMO) on resource scheduling, deployment activities, and issue resolution.
• Maintain and update project records in FTM and Nterprise.
• Create and maintain project Smartsheets, trackers, milestones, and deliverables, ensuring data accuracy and timely status updates.
• Assist Project Managers with project financial management, forecasting, and reporting activities.
• Manage purchase order requests, certificates of occupancy, and related project documentation.
• Administer project activities in Tenrox, including updates, tracking, and reporting.
• Document meeting minutes, action items, and key decisions from internal and customer meetings.
• Maintain project repositories and records in accordance with PMO governance and compliance requirements.
• Support project audits by ensuring documentation is complete, accurate, and readily accessible.
• Coordinate activities across cross-functional teams to support successful project execution.
• Document operational procedures as standard operating procedures.
