Job summary

Farbstoffe Intl seeks an Associate Officer to manage administrative functions across the plant. You will handle documentation, record-keeping and vendor coordination, acting as the bridge between Production, HR, Accounts and HSE to ensure smooth information flow.

Qualifications

  • 2–3 years of administrative experience, preferably in manufacturing.
  • Basic understanding of labour laws, Factory Act and chemical safety compliance.

Responsibilities

  • Office Management: Maintain office supplies, stationery, furniture, utilities and general cleanliness.
  • Documentation: Draft letters, memos, notices, meeting minutes and official correspondence.
  • Record Keeping: Maintain employee files, attendance, leave records, visitor logs and company policies.
  • Coordination: Liaise between Production, HR, Accounts, HSE and Management.
  • Compliance & Legal: Help maintain licences — PESO, Fire NOC, Factory Licence, Environmental NOC and Hazardous Waste authorisation.
  • Safety Coordination: Work with HSE on safety drills, PPE records, MSDS filing and incident reports.
  • Vendor Management: Coordinate with suppliers for chemicals, packing material, lab equipment and office items, and maintain the vendor database.
  • Inventory Control: Track office inventory and non-technical store items such as PPE, cleaning chemicals and safety equipment.
  • Purchase Orders: Raise POs for admin items, collect quotations and compare rates.
  • Bill Processing: Collect and verify vendor bills and forward them to Accounts for payment.
  • Petty Cash: Maintain the petty cash book and vouchers.
  • Asset Register: Maintain the record of company assets including ACs, computers and vehicles.

Job description

Requirements
