Job Overview
Our client is looking for an experienced Senior Xero Bookkeeper with Canadian accounting experience and strong knowledge of GST/HST to support the financial operations of a diverse portfolio of Toronto-based businesses, including restaurants, technology startups, and retail companies. The ideal candidate has hands‑on experience managing Canadian accounts in Xero, understands Canadian bookkeeping practices and GST/HST requirements, and can maintain accurate financial records across multiple client files. This role is well suited for a detail‑oriented bookkeeper who can work independently, communicate professionally with Canadian clients, and consistently maintain a high standard of accuracy and compliance.
Schedule
Monday - Friday, 9:00 AM - 5:00 PM EST (Toronto), with 30-minute paid break (40 work hours per week)
Responsibilities
- Manage day-to-day bookkeeping activities for Canadian client accounts using Xero as the primary accounting platform.
- Process and manage bills through the HubDoc document management system.
- Review and publish processed transactions to Xero and QuickBooks client files with a high level of accuracy.
- Perform comprehensive bank, credit card, and other account reconciliations.
- Record and reconcile GST/HST-related transactions and ensure sales tax is properly reflected in client books.
- Assist with GST/HST reporting and preparation of information required for tax filings.
- Upload sales reports as journal entries and ensure appropriate GST/HST treatment is applied.
- Prepare accounts payable summaries for client review and approval.
- Access client accounting emails through Missive to collect bank statements, invoices, receipts, and other required documentation.
- Assist with bill payment processes and basic financial information gathering.
- Maintain organized bookkeeping workflows and track tasks using ClickUp.
- Identify discrepancies, missing documentation, and unusual transactions and follow up as needed.
- Communicate professionally with Canadian clients regarding document requests, bookkeeping questions, and follow-ups.
- Maintain accurate and organized financial records across multiple client accounts.
Requirements
- Hands‑on experience using Xero is required, with Xero being the primary accounting platform.
- Proven experience managing Canadian bookkeeping/accounts.
- Strong working knowledge of Canadian GST/HST, including its application to sales and expense transactions.
- Experience preparing or supporting GST/HST-related reporting and reconciliations.
- Solid understanding of fundamental bookkeeping principles and Canadian accounting practices.
- Working knowledge of QuickBooks.
- Experience with HubDoc or similar document management platforms; Dext experience is a bonus.
- Excellent written English and professional communication skills, particularly when communicating with Canadian clients.
- Exceptional attention to detail and accuracy in financial data entry and reconciliations.
- A strong compliance‑first mindset and ability to identify potential bookkeeping or tax‑related discrepancies.
- Ability to independently manage multiple client files and deadlines in a remote environment.
- Proven ability to handle high‑volume bookkeeping tasks while maintaining accuracy and quality.
- Reliable internet connection and a professional remote work environment.
Preferred Qualifications
- Previous experience working with Canadian businesses or accounting firms is strongly preferred.
- Practical experience with GST/HST registration, coding, reconciliation, and reporting.
- Experience supporting clients in industries such as restaurants, retail, technology, or other service‑based businesses is an advantage.
- Experience with ClickUp or similar project management tools is a plus.
- Comfortable working with Canadian time zones and dynamic client schedules.
- Strong organizational and time‑management skills.
