Job Title: Warranty & Store Support Specialist
Location: Ortigas, Pasig, PH
Work Schedule: Wednesday to Saturday, 6:30 AM – 3:30 PM (Hybrid | 3x Onsite, 2x WFH)
We are looking for a highly organised and customer-focused Warranty & Store Support Specialist to provide a combination of warranty administration, customer service, and operational support to retail stores.
The position will play an important role in supporting an expanding retail network, particularly providing coverage for its new Perth stores during the Saturday-to-Wednesday schedule.
The successful candidate will be comfortable managing both customer-facing and administrative responsibilities, responding to store enquiries, coordinating warranty cases, and working with different stakeholders to ensure requests are resolved efficiently.
Receive, review, and process customer warranty enquiries and claims.
Ensure warranty requests contain the required customer, order, product, and supporting information.
Maintain accurate warranty records and supporting documentation.
Track outstanding cases and coordinate required follow-up actions.
Communicate warranty updates and outcomes to customers and relevant stakeholders.
Escalate complex or unresolved warranty matters appropriately.
Support warranty reporting and general administrative requirements.
Provide operational and administrative support to retail stores, with particular coverage for the new Perth locations.
Respond to store enquiries and provide timely assistance within the scope of the role.
Assist with customer, order, warranty, and general store-support enquiries.
Act as a key support contact for stores during the assigned Saturday-to-Wednesday schedule.
Coordinate with relevant internal departments to resolve store requests.
Follow up outstanding enquiries and ensure store teams receive appropriate updates.
Maintain accurate records of store enquiries, actions, and resolutions.
Escalate matters requiring specialist or management assistance.
Respond professionally to customer enquiries and warranty concerns.
Provide customers with clear information and updates throughout the warranty process.
Coordinate information between customers, stores, suppliers, and internal departments.
Assist in resolving customer concerns efficiently and professionally.
Manage multiple enquiries while maintaining appropriate service and response standards.
Ensure a positive and consistent customer experience.
Maintain accurate information within relevant CRM, warranty, order management, or internal systems.
Record customer and store interactions, case notes, follow-ups, and outcomes.
Monitor outstanding tasks and ensure required actions are completed.
Maintain organised documentation and records.
Assist with reporting and general administrative activities.
Support other store and warranty administration requirements as needed.
Previous experience in warranty administration, customer service, retail support, store support, sales administration, or a similar role.
Strong administrative and customer service capabilities.
Excellent written and verbal English communication skills.
Strong attention to detail and record-keeping accuracy.
Excellent organisation and follow-up skills.
Ability to prioritise and manage multiple enquiries simultaneously.
Strong problem-solving and stakeholder coordination skills.
Comfortable supporting customers and store teams remotely.
Experience using CRM, ticketing, order management, ERP, or retail systems is advantageous.
Ability to work independently, particularly during periods of reduced team coverage.
Must be able to work the required Saturday-to-Wednesday schedule.
Previous experience within retail, furniture, homewares, or a related consumer business.
Experience in warranty or after-sales support.
Experience providing operational support to multiple retail stores.
Experience supporting an Australian retail business.
Experience coordinating with stores, warehouses, suppliers, or other operational teams.
