Job summary

MarineMax Brand is seeking a Warranty Administrator to manage dealer claims for warranty parts and labor across assigned service facilities. You will submit pre-authorizations, review expirations, appeal denials, and reconcile work orders with manufacturer requirements.

You will also handle claim adjustments, recall documentation, and warranty credits while coordinating with service managers and the accounting team to ensure timely, accurate reporting and collections.

Responsibilities

• Submit pre-authorizations to maximize reimbursement for work performed and to achieve the highest approval ratio.
• Review pre-authorizations to ensure expirations do not occur prior to claim submission.
• Appeal valid pre-authorizations that were denied by the manufacturer.
• Reconcile work orders with pre-authorizations and adjust as needed for claim submission.
• Review claims for labor or material adjustments with the service manager.
• Ensure all parts requested by the manufacturer are returned within the specified timeframe.
• Responsible for collection of warranty credits.
• Negotiate or appeal adverse adjustments to claims by manufacturers.
• Submit accurate and approved claims within the manufacturer's time limits.
• Follow up with manufacturers to obtain timely responses on dealer claims.
• Ensure recall notifications are initiated properly, documented, and completed.
• Research sublet orders and backup information to file appropriate warranty claims.
• Train service writers and parts personnel in warranty procedures and pre-authorization submission.
• Coordinate with accounting on warranty receivables to ensure prompt credits.
• Reconcile manufacturer credits with pre-authorizations and actual costs of work performed.
• Prepare reports showing dollar volume of claims paid, claims requested, and aging of claims.
• Continuously improve timely and efficient collection of factory credits.
• Hire, train, motivate and monitor the performance of warranty staff.
• All other duties as assigned
