JOB SUMMARY:

The Warehouse Supervisor is responsible for the day-to-day supervision and control of warehouse operations. The position ensures the proper receiving, checking, storing, picking, releasing, returning, and monitoring of warehouse materials, equipment, and supplies.

The Warehouse Supervisor ensures that warehouse personnel, inventory, storage areas, equipment, and processes are properly managed to maintain accuracy, efficiency, cleanliness, safety, accountability, and readiness of warehouse items.

KEY RESPONSIBILITIES1. Warehouse Operations
  • Supervise the daily operations and activities of the warehouse.

  • Ensure that all warehouse activities are performed according to established procedures and schedules.

  • Assign daily tasks and responsibilities to warehouse personnel.

  • Monitor the movement of materials and equipment within the warehouse.

  • Ensure proper handling, storage, and movement of warehouse items.

  • Monitor the overall condition and readiness of warehouse stocks and equipment.

  • Ensure that warehouse operations are completed efficiently and on time.

2. Receiving of Materials and Equipment
  • Supervise the receiving of incoming materials, supplies, equipment, and other warehouse items.

  • Ensure that received items are properly counted, checked, and inspected.

  • Verify quantities and conditions against receiving documents or approved records.

  • Report shortages, excesses, damages, or discrepancies immediately.

  • Ensure that received items are properly labeled and stored in their designated locations.

  • Maintain proper documentation of all received items.

3. Issuance and Release of Warehouse Items
  • Supervise the proper issuance and release of materials, equipment, and supplies.

  • Verify approved requests before releasing warehouse items.

  • Ensure that quantities released are properly counted and recorded.

  • Maintain accountability for all items released from the warehouse.

  • Ensure that no warehouse item is released without proper documentation or authorization.

  • Monitor frequently requested items and ensure proper availability.

4. Returns and Retrieval
  • Supervise the receiving of returned materials and equipment.

  • Ensure that returned items are properly counted, checked, and documented.

  • Inspect returned items for damages, missing parts, or abnormal conditions.

  • Ensure that returned items are properly sorted and returned to their designated storage locations.

  • Report damaged, missing, or unserviceable items for proper documentation and action.

  • Maintain accurate records of returned items.

5. Inventory Control
  • Maintain accurate warehouse inventory records.

  • Conduct regular physical inventory counts.

  • Reconcile physical inventory against recorded inventory.

  • Investigate and report inventory discrepancies.

  • Monitor inventory movement, including receiving, issuance, returns, transfers, and adjustments.

  • Ensure proper identification, labeling, and classification of warehouse items.

  • Monitor slow-moving, excess, damaged, and obsolete items.

  • Ensure proper stock rotation where applicable.

  • Maintain proper accountability for company-owned warehouse assets and equipment.

6. Warehouse Storage & Organization
  • Ensure that all materials and equipment are stored in their proper designated locations.

  • Maintain an organized and systematic warehouse layout.

  • Ensure proper labeling of racks, shelves, storage areas, and items.

  • Ensure that heavy, fragile, and frequently used items are stored appropriately.

  • Prevent improper stacking, overcrowding, and unsafe storage practices.

  • Ensure that warehouse aisles and work areas remain clear and accessible.

  • Regularly inspect storage areas for proper organization and condition.

7. Manpower Supervision
  • Supervise and monitor the attendance and daily performance of warehouse personnel.

  • Allocate manpower based on the actual workload and warehouse requirements.

  • Ensure that manpower is properly utilized and assigned to productive activities.

  • Monitor compliance with work schedules and assigned responsibilities.

  • Provide instructions, coaching, and corrective guidance to warehouse personnel when necessary.

  • Evaluate employee performance and recommend appropriate actions when needed.

  • Ensure proper utilization of on-call warehouse personnel based on actual workload.

8. Warehouse Productivity & Efficiency
  • Monitor the productivity of warehouse personnel.

  • Ensure that assigned warehouse activities are completed within the required time.

  • Monitor manpower utilization against approved warehouse requirements and metrics.

  • Identify delays, bottlenecks, repetitive activities, and unnecessary processes.

  • Recommend improvements to increase warehouse efficiency and productivity.

  • Monitor the proper implementation of established warehouse processes and standards.

  • Ensure that warehouse resources are utilized efficiently.

9. Warehouse Cleanliness, 5S & Safety
  • Maintain cleanliness and orderliness of the entire warehouse.

  • Implement and monitor 5S practices.

  • Conduct regular inspections of storage and working areas.

  • Ensure proper disposal and segregation of waste materials.

  • Ensure that equipment and materials are stored safely.

  • Ensure that warehouse personnel follow proper lifting, handling, and safety procedures.

  • Monitor the proper use of PPE when required.

  • Immediately report hazards, accidents, damaged equipment, and unsafe conditions.

10. Warehouse Equipment & Facility Monitoring
  • Monitor the condition of warehouse equipment, tools, racks, shelves, carts, and other warehouse facilities.

  • Ensure proper use and handling of warehouse equipment.

  • Report damaged or defective equipment for repair or replacement.

  • Prevent unauthorized or improper use of warehouse equipment.

  • Monitor the cleanliness and functionality of warehouse facilities.

  • Ensure that warehouse equipment is properly returned and stored after use.

11. Documentation & Reporting
  • Maintain accurate and updated warehouse records.

  • Ensure proper documentation of:

  • Receiving

  • Issuance

  • Returns

  • Inventory

  • Transfers

  • Damages

  • Missing items

  • Equipment movement

  • Manpower deployment

  • Prepare regular warehouse reports as required.

  • Submit inventory discrepancies and operational concerns to the immediate superior.

  • Maintain proper filing and traceability of warehouse documents.

12. Compliance & Internal Controls
  • Ensure compliance with company warehouse policies, procedures, and internal controls.

  • Prevent unauthorized release, transfer, or movement of warehouse items.

  • Ensure proper accountability of company assets and equipment.

  • Monitor compliance with inventory and documentation procedures.

  • Report violations, discrepancies, losses, and irregularities immediately.

  • Support internal and external inventory audits when required.

QUALIFICATIONS:
  • Bachelor's degree in Logistics, Operations Management, Business Administration, or a related field is preferred.

  • At least 2–3 years of warehouse or inventory experience.

  • At least 1 year of supervisory/team-lead experience is preferred.

  • Experience in warehouse operations, inventory control, receiving, issuance, and stock management.

  • Experience in catering, hospitality, food service, events, or similar fast-paced operations is an advantage.

  • Proficient in basic MS Excel / Google Sheets and warehouse documentation.

  • Willing to work extended hours, weekends, holidays, and peak-season schedules when required.
