Job summary

Southeast Asia Shipping Corporation in Manila is seeking a detail-oriented Documentation Officer to ensure vessel accreditation documentation is complete prior to DMW submission. You will monitor seafarers’ information in the Crewing System and verify endorsement documents for authenticity and accuracy.

The role includes checking PEME validity, DMW contracts, tracking crew movement through status reports, and confirming flight details, LOI, LG and VOA validity from principals.

Responsibilities

• Ensures documentation for vessel accreditation is fully complied prior to DMW submission.
• Monitors the correctness, validity, and updates of seafarers’ information in the Crewing System.
• Ensures proper evaluation of candidates endorsed by Crewing Asst. including verification of documents (authenticity, validity, updates etc.)
• Ensures the validity of PEME in accordance with principal requirements.
• Checks correctness of DMW Contracts.
• Monitors movement of approved crew through the document status report.
• Monitors advice of flight details to principals/agents and assesses the validity of LOI, LG and VOA from principal.
• Conducts In-House Briefing and Orientation.
• Monitors dispatch of crew and ensures the completeness of crew documents prior to embarkation.
• Monitors the Overseas Employment Certificate as processed by the Documentation Assistant.
• Checks documents and other related reports prepared by the Documentation Assistant for submission/filing at the DMW.
