US Payroll Specialist
eClerx Philippines is looking for an experienced US Payroll Specialist to support payroll operations for a leading US healthcare organization.
We are seeking professionals with extensive, hands-on end-to-end US Payroll experience, strong knowledge of high-volume, multi-state payroll, and the ability to manage complex payroll requirements accurately and efficiently.
What You’ll Do
- Process and support end-to-end US Payroll, including payroll inputs, validation, calculation, review, corrections, reconciliation, and finalization.
- Support high-volume, multi-state US Payroll, ensuring accurate and timely processing.
- Review and validate earnings, deductions, taxes, adjustments, timekeeping inputs, and pay results.
- Perform payroll reconciliation, variance analysis, audits, and pre- and post-payroll validation.
- Investigate and resolve payroll discrepancies, adjustments, corrections, and employee payroll issues.
- Apply applicable US federal and state payroll requirements, particularly for California and Washington.
- Support payroll requirements related to WA PFML, overtime, union payroll, terminations, and final pay.
- Support year-end payroll activities, including W-2 processing and related validation.
- Generate and analyze payroll reports to identify discrepancies and ensure payroll accuracy.
- Collaborate with HR, Finance, Benefits, Operations, and other stakeholders to resolve payroll-related matters.
- Contribute to process documentation, knowledge transfer, controls, and continuous improvement.
What We’re Looking For
- At least 5 years of hands-on, end-to-end US Payroll experience – required.
- Experience supporting high-volume, multi-state US Payroll, preferably for 15,000–20,000 employees.
- Strong hands-on experience with California and Washington payroll.
- Experience supporting weekly, bi-weekly, semi-monthly, and/or monthly payroll cycles.
- Strong understanding of:
- FLSA and exempt vs. non-exempt classification
- FICA, Social Security, and Medicare
- Overtime and wage requirements
- WA PFML – deductions, eligibility, reporting, and compliance
- Union Payroll – applicable rates, rules, deductions, benefits, and overtime
- Termination and Final Pay requirements and applicable penalties
- W-2 processing and year-end activities
- Payroll reconciliation, variance analysis, and issue resolution
- Strong analytical, problem-solving, and communication skills.
- Bachelor's degree in Accounting, Finance, HR, Business, or a related field, or equivalent relevant experience.
Nice to Have
- Experience with Workday Payroll, UKG Pro, UKG Workforce, and/or Kronos.
- Experience supporting healthcare payroll.
- Experience handling large-scale, multi-state payroll operations.
- Payroll audit, compliance, and controls experience.
- CPP certification or equivalent payroll certification.
Key Requirement
Extensive, hands-on end-to-end US Payroll experience is required.
Candidates should be able to demonstrate actual payroll processing experience, including the ability to explain the processes they personally handled, how they validated payroll results, how they resolved discrepancies, and how applicable US payroll rules affected the final payroll outcome.
Experience with high-volume multi-state payroll, particularly California and Washington, as well as WA PFML, union payroll, termination/final pay, and payroll reconciliation, will be highly valued.
