We are looking for a US Payroll Specialist to support accurate and compliant payroll operations across multiple US states. This role is responsible for processing off-cycle payroll payments, final paychecks, payroll record maintenance, employment verifications, unemployment notices, workers' compensation reporting, payroll audits, and payroll data administration using ADP Workforce Now, ADP Lyric, and related timekeeping systems.
You will provide the best service to our partner brands by performing these tasks:
Process off-cycle payroll payments for missed hours, payroll adjustments, and vacation donation transactions accurately and within established deadlines.
Prepare and process final paychecks for employees in California (CA) and Nevada (NV) while ensuring compliance with applicable state payroll regulations.
Enroll, maintain, and administer Wisely Pay Cards within ADP.
Review, update, and process vacation balance adjustments for terminated employees, including employees based in Washington (WA).
Conduct employment verifications through written and verbal communications in a timely and compliant manner.
Prepare, process, and distribute unemployment notices to applicable communities and stakeholders.
Generate, review, and maintain SAW Reports and supporting documentation for Workers' Compensation reporting requirements.
Support audit, legal, compliance, and documentation requests by providing accurate payroll records and related payroll information.
Maintain employee payroll records within ADP, including Direct Deposit, W-4 forms, demographic updates, address changes, name changes, and badge number changes.
Review employee timecards, identify payroll discrepancies, coordinate corrections with stakeholders, and ensure payroll accuracy.
Maintain payroll documentation, filing systems, record retention processes, and compliance with payroll policies and regulatory standards.
Support payroll data integrity while safeguarding confidential employee, legal, and payroll information.
Bachelor's degree in Accounting, Finance, Human Resources, Business Administration, or a related field preferred.
Experience in end-to-end US payroll processing, including off-cycle payroll and final pay processing.
Experience supporting multi-state US payroll operations, including California (CA), Nevada (NV), and Washington (WA) payroll environments.
Strong understanding of US payroll regulations, payroll compliance standards, and payroll best practices.
Hands-on experience with ADP Workforce Now and/or ADP Lyric.
Experience administering Wisely Pay Cards within ADP.
Experience reviewing and resolving timekeeping discrepancies, conducting timecard audits, and processing payroll corrections.
Experience maintaining employee payroll records, including Direct Deposit, W-4 forms, employee profile updates, and payroll data changes.
Experience processing unemployment claims, unemployment notices, and Workers' Compensation reporting requirements.
Experience generating and reviewing SAW Reports and other payroll compliance reports.
Experience conducting employment verifications and managing payroll-related employee documentation.
Experience supporting payroll audits, compliance reviews, legal requests, and payroll documentation requirements.
Experience processing vacation balance adjustments, termination-related payroll updates, and vacation donation transactions.
Experience working with Kronos and/or UKG timekeeping systems.
Experience supporting medium to large-volume payroll environments.
High level of accuracy and attention to detail in payroll processing and data management.
Ability to handle confidential payroll, employee, legal, and compliance information with discretion.
Strong organizational skills with the ability to manage multiple priorities and meet strict deadlines.
