Job summary

Satellite Office in Pasig City is seeking an operations coordinator who can own the workflow between two service offices in Queensland, verify timesheets against GPS data, and ensure transparency across systems.

You’ll partner with the Scheduler and Operations leadership to allocate work, maintain portals, track client feedback, prepare reports, assist with invoicing, and support subcontractor compliance while upholding safety practices.

Qualifications

• Experience in administration or coordination, with scheduling background in building/maintenance settings.
• Proficient with MS Office and comfortable learning new systems.
• Strong communication and professional phone manner, plus attention to detail.
• Willingness to undergo a police clearance check.

Responsibilities

• Allocate incoming work requests to the right office based on location, resourcing, and operational need.
• Keep maintenance portals accurate and up to date, every day.
• Cross-check timesheets against scheduled jobs and vehicle GPS records for accuracy and compliance.
• Track client feedback and flag service trends or improvement opportunities.
• Prepare correspondence, reports, presentations, and maintain key records and spreadsheets.
• Support invoice processing and general operational documentation.
• Help identify high-risk jobs and apply the correct safety tagging where relevant.
• Support subcontractor compliance tracking (licences, approvals, safety paperwork).
