The Treasury Assistant is a key support role within the Treasury Department, responsible for the accurate, timely, and well-controlled processing of the company’s disbursements. This role handles the end-to-end payment cycle — from receiving and validating invoices, encoding and preparing checks, to releasing payments to authorized payees and maintaining complete disbursement records. As a trusted custodian of company checks and accountable forms, the role ensures every payment is properly documented, released on schedule, and claimed before it becomes stale — keeping supplier relationships strong and company funds secure.
Timestamp and record all invoices received from the Accounting Department for payment
Validate the completeness of billing details and supporting documents before processing any payment
Encode payment details (payee, amount, date, invoice number, etc.) in the system for accurate record keeping
Prepare, encode, and sort invoices for check cutting
Prepare payments within the agreed time schedule — 1-day turnaround for invoices received within cut-off
Ensure all necessary documents are in order before releasing checks
Release checks to suppliers on scheduled collection dates, only to duly authorized representatives
Prepare foreign currency notes requisitions and monitor their proper liquidation
Monitor unreleased and unclaimed checks; follow up with payees to ensure issued checks are claimed before they become stale
Take full responsibility and accountability for the custody and safekeeping of company-issued checks and other accountable forms
Maintain the orderly batching and filing of all invoices and disbursement records
Perform other related duties as may be assigned from time to time
Bachelor’s Degree in Accountancy, Financial Management, Business Administration, or a related course
At least 1 year of experience in treasury, disbursement, accounts payable, or general accounting operations is preferred
Fresh graduates with a strong interest in treasury and finance operations are welcome to apply
Proficient in MS Office, particularly MS Excel, for encoding, payment tracking, and record keeping
Knowledge of SAP is an advantage; willingness to learn is a must
Highly organized and systematic, with strong attention to detail and accuracy
Good communication and interpersonal skills for coordination with suppliers, payees, and internal departments
Able to handle multiple tasks at the same time without losing focus, and to consistently meet or beat deadlines
Demonstrates work initiative, teamwork, problem-solving, and a strong service orientation
Upholds strict confidentiality in handling company financial and supplier information
