Responsibilities

• Process and monitor booked sales orders for petroleum products in SAP/ERP accurately and on time.
• Coordinate with logistics and depot teams to schedule and confirm timely product delivery to client accounts.
• Respond to customer inquiries via phone, email, and other channels regarding pricing and delivery schedules.
• Maintain CRM records, generate sales quotations and support field sales with documents.
• Assist in accounts receivable coordination and follow up on payment terms.

The Inside Sales Associate provides administrative and operational support to the Sales team in managing client accounts, processing orders, and coordinating the delivery of petroleum products — including fuels and lubricants — across the Philippine market. This role serves as the primary point of contact for customer inquiries and ensures seamless coordination between clients, field sales officers, logistics, credit, customer service, and depot operations. How You’ll Drive Success

Sales Order Management

• Process and monitor booked sales orders for petroleum products in SAP/ERP accurately and on time


• Prepare and confirm booked orders with purchase orders from Territory Managers and compile all related sales documentation


• Coordinate with logistics and depot teams to schedule and confirm timely product delivery to client accounts


• Track and update order status and inform clients and field sales officers of any changes, delays, or credit issues

Customer Service & Account Management

• Respond promptly to customer inquiries via phone, email, and other channels regarding pricing, product availability, and delivery schedules


• Build and maintain strong professional relationships with assigned accounts including industrial clients, fleet operators, and resellers


• Assist in managing and growing existing accounts by identifying upselling and cross-selling opportunities


• Handle and resolve customer complaints and concerns in coordination with relevant departments

Sales Support & Reporting

• Prepare accurate and timely sales quotations, proposals, and order confirmations for client accounts


• Generate and submit weekly and monthly sales activity reports, account status summaries, and pipeline updates to the Sales Supervisor


• Maintain and update the CRM database with accurate client interaction records and sales data


• Support field sales officers by preparing required documents, presentations, and account information prior to client visits

Billing & Collections Support

• Assist in monitoring accounts receivable and coordinating with the Finance team on outstanding balances


• Follow up with clients on payment dues in accordance with approved credit terms


• Prepare statements of account and collection letters as required

Coordination & Administrative Tasks

• Coordinate with internal departments including Logistics, Depot Operations, Finance, and Credit Management to ensure smooth order fulfillment


• Monitor product inventory levels and relay relevant information to the Sales team and clients as needed


• Perform other administrative and sales-related tasks as assigned by the immediate supervisor

The Expertise You Bring

Education

• Bachelor's degree in Business Administration (Marketing or Management), Commerce, or any related field

Experience

• Prior experience in the petroleum, oil and gas, energy, or distribution industry is a strong advantage


• Fresh graduates with strong internship experience in sales or administrative roles will be considered

• Solid understanding of basic sales processes, order management, and customer service principles
