ROLE PURPOSE:
Our Talent Acquisition Specialist (Pre-boarding) manages and coordinates pre-employment activities for identified hires from offer acceptance through onboarding readiness, ensuring candidates complete all required documentation, clearances, and system requirements within prescribed timelines.
The role works closely with Recruiters, Candidates, Hiring Managers, People Services, and other relevant stakeholders to provide a seamless candidate experience and ensure new hires are ready for deployment and onboarding.
Managing the end-to-end pre-boarding process from accepted offer to onboarding/deployment.
Coordinating with identified hires on pre-employment requirements, documentation, medical requirements, background checks, and other applicable clearances.
Monitoring completion of requirements and proactively following up with candidates to prevent delays in target start dates.
Ensuring candidate information and pre-boarding status are accurately and timely updated in Hatch/HRMS and applicable trackers.
Coordinating with People Resourcing, Hiring Managers, People Services, and other stakeholders on candidate readiness, pending requirements, and changes in start dates.
Facilitating the proper handover of cleared candidates for onboarding and employment processing.
Preparing and maintaining pre-boarding reports, trackers, and dashboards covering target start dates, completion status, pending requirements, and onboarding readiness.
Providing candidates with clear and timely communication throughout the pre-boarding journey to ensure a positive candidate experience.
Maintaining accurate and confidential candidate records in accordance with Data Privacy policies and records management requirements.
Ability to ensure identified hires are fully cleared and ready for onboarding within agreed timelines.
Ability to effectively manage multiple candidates, requirements, and target start dates simultaneously.
Ability to proactively identify and elevate pre-boarding risks or delays that may impact deployment.
Accuracy and timeliness of HRMS processing, documentation, tracking, and reporting.
Strong coordination with candidates and internal stakeholders to ensure smooth transition from offer acceptance to Day 1.
Ability to maintain a high level of candidate engagement and responsiveness throughout the pre-boarding process.
Compliance with prescribed Data Privacy, information security, retention, and disposal requirements.
WHAT WE LOOK FOR:
Candidate must possess at least a Bachelor's/College Degree in Psychology, Human Resource Development Management or equivalent.
At least 2 year(s) of working experience in the related field is required for this position.
