GENERAL DESCRIPTION:

The Supply Chain Finance Manager serves as a dedicated financial lead and operational shadow to the Supply Chain and Logistics Group (SCLG) and ground operations teams of Hybrid Social Solutions Inc. (HSSI). Positioned at the critical intersection of finance, logistics, and field distribution, this role is specifically established to ensure availability and accuracy of inventory reports.

Following the completion of demand and supply planning and Purchase Order (PO) creation by SCLG, the Supply Chain Finance Manager steps in from the Finance side to arrange and manage PO funding, trade credit, and payment releases. The role continuously tracks goods through every phase of the supply pipeline—from arrival and customs clearance through transit, Regional Distribution Centres (RDCs), Solar Hubs, and remote gridless warehouse sites. Operating with a 'shadow' methodology on the ground, the Manager leverages Odoo ERP and the Solarista Mobile App to enforce mandatory inventory tagging, serial number verification, and unit-level accounting. Ultimately, this position ensures that every item is accounted for to the last unit, eliminating stock leakage, resolving inventory variances, and safeguarding gross margins across HSSI's last-mile social enterprise network.

KEY JOB ROLES

1. Purchase Order (PO) Financing & Working Capital Management

• PO Funding & Payment Readiness: Collaborate directly with SCLG upon completion of demand/supply analysis to review generated Purchase Orders (POs) and secure required financial approvals, trade financing, Letters of Credit (LCs), or cash releases for supplier payments.
• Supplier Payment & Credit Line Management: Manage payment terms, milestone disbursements, and trade credit utilization, balancing liquidity constraints with timely supplier fulfillment.
• Landed Cost Accounting: Track, compile, and audit all landed cost components—including import duties, freight/shipping charges, insurance, port handling, and local transport to calculate true unit costs and maintain accurate gross margins in Odoo ERP.

2. End-to-End Inventory Tracking & Goods In-Transit Monitoring

• Pipeline Goods Monitoring: Act as a financial shadow tracking stock from port arrival/supplier dispatch through international shipping, customs clearance, local transit, and delivery to Regional Distribution Centres (RDCs) and Solar Hubs.
• Unit-Level Accounting: Enforce strict accounting standards ensuring that every item—from complete solar home systems and productive-use equipment to spare parts, accessories, and demo units is accounted for to the last unit across all storage nodes.
• Transit Loss & Damage Controls: Establish immediate reporting and financial reconciliation protocols for transit damages, shipment shortages, insurance claims, and supplier delivery discrepancies.

3. Digital Inventory Tagging & System Integration (Odoo & Solarista App)

• Digital Tagging Compliance: Enforce the rigorous, non-negotiable practice of digital inventory tagging and scanning using the Solarista Mobile App and Odoo ERP across all receiving, transfer, consignment, and dispatch events.
• System Reconciliation (Odoo vs. Solarista): Conduct daily/weekly system alignment reviews between Solarista App field scans and Odoo ERP inventory ledgers, identifying and resolving sync errors, missing tags, or unposted stock movements.
• Digital Chain-of-Custody: Establish audit-proof digital handover protocols requiring barcode/serial scans whenever inventory shifts custody between logistics carriers, central warehouses, regional hub managers, and field sales teams.

4. Physical Inventory Counts, Reconciliation & Leakage Prevention

• Physical Count Oversight: Design, schedule, and lead periodic wall-to-wall physical stock counts, surprise audits, and perpetual cycle counts across all RDCs, Solar Hubs, and partner warehouse facilities.
• Variance Investigation & Resolution: Conduct immediate root-cause investigations for inventory variances (overages, shortages, unaccounted movements), holding responsible custodians accountable and enforcing prompt ERP ledger adjustments.
• Shrinkage & Leakage Prevention: Co-design and implement strict inventory loss-prevention controls, obsolete/damaged stock write-down approval limits, and security protocols to eliminate theft, unauthorized field loans, and unrecorded usage.

5. Supply Chain Cost Control & Financial Analytics

• Fulfillment & Warehousing Cost Analysis: Monitor and evaluate total supply chain costs—including warehouse rentals, hub handling expenses, 3PL logistics charges, and slow-moving inventory holding costs.
• Inventory Valuation & NRV Reviews: Oversee inventory valuation methodology in Odoo ERP (FIFO/Weighted Average) and conduct regular Net Realizable Value (NRV) reviews to ensure compliance with financial accounting standards.
• Decision Support for SCLG: Provide actionable monthly financial reports to SCLG and Executive Management detailing inventory turn rates, stock aging, reorder point financial impacts, and working capital efficiency metrics.

6. Field Shadowing, Operational Support & Capability Building

• On-the-Ground Shadowing: Conduct regular field visits and unannounced operational spot-checks at regional hubs and distribution points to shadow SCLG and warehouse teams, understanding real-world operational bottlenecks.
• Field Staff Coaching: Train warehouse keepers, hub supervisors, and logistics personnel on proper Odoo stock entries, Solarista App scanning discipline, and the financial impact of inventory precision.
• SOP Co-Creation & Process Strengthening: Partner with SCLG and Internal Control to continually refine and update Inventory Control SOPs, logbooks, and field verification forms to ensure operational feasibility and financial compliance.

EDUCATIONAL AND EXPERIENCE REQUIREMENT

• Educational Background: Bachelor’s degree in Accountancy, Finance, Supply Chain Management, Logistics, or Industrial Engineering. Certified Public Accountant (CPA) or Certified Management Accountant (CMA) credential is a strong advantage.
• Work Experience: Minimum of 5 to 7 years of progressive experience in Supply Chain Finance, Inventory Accounting, Cost Accounting, or Financial Operations within multi-site distribution, retail, FMCG, or social enterprise sectors.
• Systems & Technology Expertise: Hands-on, proficient working knowledge of Odoo ERP (specifically Purchasing, Inventory, and Accounting modules) and mobile stock-tracking/barcode applications (Solarista App or equivalent).
• Field & Last-Mile Experience: Demonstrated track record in managing complex inventory control environments, conducting landed cost accounting, and executing physical stock counts across decentralized regional warehouses or last-mile distribution networks.
• Process Engineering & Shadowing: Proven capacity to 'shadow' ground logistics operations, identify process vulnerabilities, and implement pragmatic, audit-ready inventory controls without disrupting operational momentum.
