The Site Operations & Workplace Services Manager will oversee the day-to-day operations, workplace services, facilities, and administrative requirements of a large corporate site in Cebu.
Beyond workplace management, this role will serve as a key strategic partner to the Site Lead, helping translate leadership priorities into actionable plans, coordinating governance routines, driving cross-functional initiatives, and ensuring timely execution and follow-through across business and functional teams.
The role requires a highly organized and proactive leader who can balance operational excellence with strategic coordination, stakeholder management, and project delivery.
Key Responsibilities:
Site & Workplace Operations
- Oversee day-to-day site and workplace operations, ensuring a safe, efficient, compliant, and professional working environment.
- Lead facilities management, repairs, maintenance, workplace services, and general site requirements.
- Ensure compliance with workplace health and safety standards, regulatory requirements, company policies, and applicable local regulations.
- Manage seat allocation, space planning, reception and visitor management, office equipment, supplies, and workplace inventory.
- Coordinate site-wide events, leadership visits, employee activities, and other workplace initiatives.
Vendor & Contract Management
- Manage local vendors, service providers, and onsite contractors, ensuring quality, cost-effectiveness, service reliability, and compliance with agreed service levels.
- Oversee vendor contracts, performance reviews, issue resolution, renewals, and commercial discussions.
- Monitor service delivery, identify operational gaps, and implement corrective actions where necessary.
Site Leadership & Chief of Staff Support
- Serve as a strategic thought partner to the Site Lead, providing structured coordination and follow-through on key priorities.
- Translate leadership priorities into clear action plans, ownership, milestones, deliverables, and measurable outcomes.
- Coordinate leadership governance routines, including meeting agendas, pre-reads, minutes, decision tracking, action logs, and follow-through.
- Improve information flow and communication across site leadership and functional teams.
- Proactively identify issues, dependencies, risks, and areas requiring leadership attention or escalation.
Cross-Functional Project Management
- Lead or coordinate strategic, cross-functional projects and special initiatives that may not have a natural owner.
- Drive project planning, execution, stakeholder alignment, timelines, dependencies, risks, and key milestones.
- Monitor KPIs and project outcomes and provide regular updates to site leadership.
- Facilitate collaboration across business and functional teams to ensure timely execution of agreed initiatives.
- Support change management and continuous improvement initiatives across the site.
Business Continuity & Risk Management
- Support crisis response, emergency preparedness, business continuity, and site resilience initiatives.
- Coordinate with relevant stakeholders during operational disruptions, emergencies, and other critical site matters.
- Identify operational risks and ensure appropriate mitigation and escalation plans are in place.
Qualifications:
- Bachelor’s degree in Business Administration, Management, Facilities Management, Real Estate, or a related field.
- An MBA, Master’s degree, or relevant professional certification is an advantage.
- 5–10 years of experience in Facilities Management, Corporate Real Estate, Workplace Services, Site Operations, or a related field.
- At least 5 years of project management experience, preferably involving complex cross-functional initiatives.
- At least 5 years of leadership experience, including managing teams, vendors, contractors, and multiple stakeholders.
- Experience in a multinational company, shared services, BPO, logistics, or similarly structured corporate environment is highly preferred.
- Strong knowledge of facilities and workplace operations, vendor and contract management, project management, governance, KPI management, risk management, business continuity, compliance, and change management.
- Strong ability to manage multiple priorities and coordinate across different business and functional units.
- Excellent stakeholder management, communication, presentation, organizational, and problem-solving skills.
- Strong business acumen with the ability to understand leadership priorities and translate them into actionable plans.
- Strategic, proactive, highly organized, and detail-oriented, with the ability to operate effectively in a fast-paced corporate environment.
- Comfortable working with senior leaders and influencing stakeholders across different functions and levels of the organization.
Work Arrangement:
- Location: Cebu
- Work Setup: Full onsite upon onboarding; hybrid upon regularization (3 days onsite, 2 days work from home)
- Schedule: Primarily morning shift, with flexibility to extend working hours depending on business requirements.
