Job Overview
The role of Site Operations Lead blends hands-on facilities and workplace management with a strategic Chief of Staff function - helping translate leadership priorities into action, keeping cross-functional initiatives on track, and making sure the site runs safely, smoothly, and professionally.
Key Responsibilities:
Facilities & Workplace Management
- Lead facilities operations, repairs, and maintenance, ensuring the workplace stays safe, compliant, and well-run
- Manage local vendors and onsite contractors, overseeing contracts, service levels, performance issues, and renewals
- Take ownership of seat allocation, space planning, reception, and visitor management
- Oversee office equipment, supplies, and inventory to keep day-to-day operations running without a hitch
Strategic & Chief of Staff Support
- Act as a trusted thought partner to the Site Lead, helping turn big-picture priorities into clear plans with defined owners, milestones, and outcomes
- Coordinate leadership governance routines - agendas, pre-reads, meeting minutes, decisions, and action item tracking - ensuring nothing falls through the cracks
- Improve how information flows across site leadership so everyone stays aligned
Cross-Functional Project Leadership
- Step in to lead or coordinate cross-functional projects and special initiatives that don't have a natural owner
- Track risks, dependencies, and KPIs across these initiatives, escalating issues as needed to keep things moving
Business Continuity & Site Support
- Support crisis response and business continuity planning for the site
- Help organize site-wide events, executive visits, and employee engagement activities
Qualifications:
- Bachelor's degree in Business Administration, Management, Facilities Management, Real Estate, or a related field
- An MBA, master's degree, or relevant professional certification is a plus
- 5-10 years of experience in Facilities Management, Corporate Real Estate, Workplace Services, or a related field
- At least 5 years of project management experience leading cross-functional initiatives
- At least 5 years of leadership experience managing teams, vendors, and stakeholders
- Background in multinational, shared services, BPO, or similar corporate environments is highly preferred
- Strong grounding in facilities operations, vendor and contract management, strategic planning, governance, KPI tracking, risk management, business continuity, and compliance
- Excellent stakeholder management, communication, presentation, and problem-solving abilities
- A strategic, proactive, and detail-oriented leader who thrives on driving operational excellence while juggling multiple priorities
