Job Summary
The Site Assistant acts as the ambassador in promoting the project and units to clients. Duties involve presentation of the project to walk‑in clients as well as assisting in the viewing of the model unit and deliverable unit, monitoring site activity including the walk‑in count and condition of the model unit/deliverable unit. He/She is responsible for the presentation and promotion of the project on‑site.
Duties and Responsibilities
- Inventory Management & Monitoring
- Assist Project Development in ensuring smooth operations of Sales Hub
- Conduct storage room clean‑up and implement improvements
- Establish an organized inventory system for the sales office, storage room, model units, and dressed‑up units
- Perform regular monitoring of supplies needed for the sales office operations (office supplies, cleaning agents, etc.)
- Manage marketing materials, which includes inventory monitoring and distribution of flyers, folders, envelopes, and fact sheets
- Flag/prompt Project Development and/or Marketing if there is a need to re‑order the said materials and supplies
- Provide weekly report on walk‑in prospects or call‑ins, including demographics and source
- Monthly inventory of furniture and accessories
- Safeguard and monitor all unit keys related to prospect viewing
- Client Relation Management
- Acts as concierge for Sales Hub by welcoming all guests
- Receive and endorse walk‑in and phone‑in clients to the designated seller
- Assign email inquiries to the designated sellers
- Provide basic client assistance when sellers/brokers are not present
- Assist sellers/brokers in project presentation
- Present project to other clients endorsed by the Project Development team, and 3rd‑party brokers inquiring about the project
- Prepare and coordinate updated sales materials for printing prior to sales events and client presentations
- Project Management
- Ensure that the sales office, model units, dressed‑up units and common areas are always presentable
- Report issues in maintenance, security and any incidents at the Sales Hub to Project Development
- Assist Marketing Officer/Marketing Assistant in event preparation and set‑up
- Oversee efficient sales office operations by monitoring and reporting all repair and maintenance concerns to Project Development
- Supervise the daily operations of housekeeping personnel

Education, Trainings and Licenses Required
Bachelor's Degree
