We are looking for a highly organized and detail-oriented Service & Administration Coordinator with hands-on simPRO experience to support the day-to-day operations of a field-service/trades business. The role involves coordinating with customers, suppliers, office staff, and field technicians while managing job administration, invoicing, purchasing, parts procurement, and general office administration.
Salary Range: 35,000 - 60,000
Shift Type: Morning Shift | 06:00 AM - 03:00 PM
Manage simPRO job administration, including creating, updating, processing, and closing jobs, maintaining accurate records, and preparing job-related documentation.
Coordinate service operations and technician schedules, including customer appointments, job priorities, daily run sheets, and communication with field technicians.
Handle invoicing, purchase orders, accounts administration, procurement, and supplier coordination, including sourcing parts, monitoring orders, and following up on deliveries.
Provide customer and administrative support through phone and email, including responding to enquiries, preparing documents, maintaining records, and coordinating meetings.
Assist with inventory management, bookkeeping, reporting, data entry, and other operational tasks to ensure smooth day-to-day business operations.
Hands-on experience with simPRO is essential, particularly in job management, invoicing, purchase orders, and maintaining job records.
Previous experience in a field-service, trades, construction, HVAC, electrical, plumbing, mechanical, or similar industry is highly preferred.
Experience in administration, bookkeeping, procurement, accounts payable/receivable, invoicing, and supplier or inventory management.
Strong English communication, customer service, organizational, and time-management skills, with the ability to coordinate with customers, suppliers, and technicians.
Highly detail-oriented, organized, and capable of managing multiple priorities while working independently and maintaining accurate records.
Experience with Xero or MYOB is an advantage.
Familiarity with service management, scheduling, or job management systems.
Strong computer literacy and confidence working with multiple systems and databases.
