About the role
The Service Coordinator / Customer Service Representative is responsible for managing customer inquiries and coordinating service requests for surveying, engineering, and other technical equipment. This position serves as the primary point of communication between customers and the Service Center technicians, ensuring that customers receive clear, accurate, and timely information throughout the entire service process. The Service Coordinator receives and documents customer concerns, coordinates equipment diagnosis with technicians, prepares and explains service quotations, follows up customer approvals, monitors ongoing Job/Work Orders, and provides regular updates until the equipment is completed and ready for release.
Key responsibilities
- Receive and respond to customer inquiries through the company's official communication channels.
- Identify, understand, and properly document customer concerns and requested services.
- Record complete equipment information, including brand, model, serial number, accessories received, reported problem, and physical condition upon receipt.
- Coordinate with technicians regarding equipment diagnosis, required parts, labor requirements, estimated completion time, and technical recommendations.
- Prepare accurate quotations for calibration, repair, preventive maintenance, spare parts, labor, and other service-related charges.
- Clearly explain quotations, service recommendations, procedures, estimated turnaround times, and applicable charges to customers.
- Follow up with customers regarding pending quotations and approvals to prevent unnecessary delays.
- Communicate with customers regarding calibration, repair, maintenance, warranty claims, parts replacement, and other after-sales services.
- Monitor the status and turnaround time of all assigned Job/Work Orders.
- Provide customers with regular and timely updates regarding the status of their equipment.
About you
- At least 2-3 years of relevant work experience in customer service, service coordination, after-sales service, quotation preparation, or technical service administration is preferred.
- Experience in an equipment, automotive, electronics, engineering, construction, industrial, or technical service center.
- Comfortable learning technical terminology, equipment specifications, parts, and service procedures.
- Proficient in Microsoft Excel, Microsoft Office, and basic computer applications.
- Strong verbal and written communication skills in English and Filipino.
- Detail-oriented and organized, particularly in handling quotations, Job/Work Orders, equipment information, and customer records.
- Able to manage multiple customer concerns simultaneously.
- Able to handle demanding or concerned customers calmly under pressure.
- Honest, dependable, responsible, and capable of maintaining accurate records.
- Strong follow-up skills and able to work effectively with technicians and other departments.
