I. JOB SUMMARY/OBJECTIVES
The Assistant Manager oversees the daily operation of import customer service and documentation, ensuring timely, accurate, and compliant import handling for all assigned accounts. The role provides leadership, operational guidance, and performance management to the Import CS/Docs Team while driving service excellence, process efficiency, and customer satisfaction. The Superior can also assign additional work or stretched assignments to the person as deemed necessary for the effective operations of the Department.
II. KEY DUTIES AND RESPONSIBILITIES
A. Leadership & Team Management:
- Supervise, mentor, and develop the Import CS/Docs team through coaching and performance monitoring.
- Assign workload, manage staffing schedules, and ensure optimal productivity.
- Conduct training on import procedures, documentation standards, and systems.
- Promote a culture of accuracy, accountability, and service excellence.
B. Operations Management:
- Oversee end-to-end import processes including booking, documentation, shipment monitoring, and billing.
- Ensure timely issuance of accuracy of import documents such as BL, FCR, pre-alert and invoicing.
- Monitor shipment movement and ensure proactive communication with customers and agents.
- Ensure compliance with carrier, customs, and regulatory requirements.
C. Customer and Stakeholder Management
- Act as escalation point for operational or service-related issues.
- Maintain strong relationships with customers, agents, carriers and internal teams.
- Support key account retention through consistent service delivery
- Engage in customer-facing activities that help strengthen relationships and open opportunities for new accounts.
D. Process Improvement & Compliance
- Identify operational gaps and implement corrective and preventive actions.
- Support continuous improvement initiatives within the Seafreight Division.
- Ensure compliance with SOPs, client requirements, and audit standards.
E. Administrative & Reporting
- Oversee and validate billing and cost approvals.
- Monitor KPIs and prepare operational reports for management.
- Ensure timely response to customer and internal communications.

- Recommend corrective actions to resolve shipment issues.
- Validate and endorse billing and service charges for import shipments.
- Communicate directly with customers and origin stations regarding shipment concerns.

- Internal: All Business Units in Orient Freight International Inc.
- External: Assigned customers, vendors/suppliers, agents.
VI. QUALIFICATIONS
A. Education
- Bachelor’s degree in Business, Logistics, Supply Chain, or related field.
B. Experience
- Minimum 4–6 years’ experience in freight forwarding/import operations or customer service preferred.
C. Technical Skills
- Knowledge of import processes and documentation.
- MS Office proficiency (Excel, Outlook, SharePoint, PowerPoint, etc).
