Job summary

Private Advertiser is seeking an Order Management Specialist to support the end-to-end sales order process. You will ensure accurate order entry, timely fulfillment, and strong customer service, acting as the liaison among Sales, Customers, Supply Chain, Logistics, and Finance.

You will review orders for accuracy, maintain ERP data accuracy in SAP, Microsoft Dynamics, and CRM systems, and drive continuous improvement in order cycle times while ensuring compliance with SLAs and company policies.

Qualifications

• Bachelor’s degree in Business Administration, Supply Chain Management, Commerce, or related field.
• 1–2 years of experience in Sales Order Management, Customer Service, Order Fulfillment, or related operations role.
• Experience with ERP systems such as SAP, Microsoft Dynamics, etc.
• Proficiency in Microsoft Excel.
• Knowledge of supply chain and logistics processes.
• Familiarity with CRM platforms such as Salesforce.

Responsibilities

• Process and manage customer sales orders from receipt through fulfillment and invoicing.
• Review orders for accuracy, pricing, and contractual compliance.
• Monitor order status and address issues impacting delivery timelines.
• Maintain order accuracy in ERP systems such as D365, SBA Portal, or similar platforms.
• Process order changes, cancellations, returns, and credit requests as needed.
• Serve as the primary point of contact for sales agents regarding order inquiries and status updates.
• Provide timely and professional communication to sales and internal stakeholders.
• Build and maintain strong customer relationships by ensuring a high level of service delivery.
• Collaborate with Sales, Supply Chain, Logistics, Warehouse Operations, and Collection Cycle teams to ensure seamless order fulfillment.
• Coordinate with inventory and planning teams to manage stock availability and delivery commitments.
• Escalate and resolve order-related issues impacting customer satisfaction or business performance.
• Ensure compliance with company policies, contractual obligations, and regulatory requirements.
• Maintain accurate customer records, order documentation, and transaction history.
• Support audits by providing required documentation and order records.
• Generate and analyze order management reports, KPIs, and service metrics.
• Monitor backlog, on-time delivery performance and order cycle times.
• Identify process improvement opportunities to enhance efficiency, accuracy, and customer experience.
• Participate in process automation and system enhancement initiatives.
