Job Description
- Office Management: Oversee general office operations, including maintaining office supplies, coordinating equipment maintenance, and ensuring the workspace is clean and organized.
- Scheduling and Calendar Management: Schedule meetings, appointments, and conferences, and maintain calendars for executives or teams. Ensure that all appointments are confirmed and prepare necessary documents ahead of time.
- Correspondence and Communication: Handle phone calls, emails, and written communication, and direct them to appropriate parties. Draft, proofread, and send routine correspondence on behalf of executives.
- Document Management: Organize and maintain physical and digital files, records, and documents for easy access. Assist with filing, photocopying, scanning, and managing confidential materials.
- Data Entry and Reporting: Input data into spreadsheets, databases, and other software systems. Prepare and generate reports, presentations, and other documents as needed.
- Travel and Event Coordination: Arrange travel accommodations, transportation, and itineraries for staff or executives. Help plan and coordinate company events, meetings, or conferences.
- Customer and Client Support: Provide front-line customer service, including greeting visitors, handling inquiries, and providing information as needed. Assist with any client-facing duties, including scheduling appointments and follow-ups.
- Administrative Support: Assist executives, managers, or other staff with a variety of tasks as needed, including research, preparing reports, or supporting special projects.
- Education: High school diploma or equivalent required; an associate’s degree or higher in business administration or a related field is a plus.
- Experience: Proven experience as an administrative assistant, office manager, or similar role. Familiarity with office equipment, such as printers and copiers, is important.
- Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Knowledge of office software and systems (e.g., Google Workspace, scheduling tools, etc.).
- Organization and Time Management: Excellent organizational skills with the ability to manage multiple tasks, meet deadlines, and prioritize duties effectively.
- Communication Skills: Strong written and verbal communication skills for interacting with various stakeholders.
- Attention to Detail: Ability to produce accurate and high-quality work, including proofreading and checking documents for errors.
- Problem-Solving: Ability to think critically and address issues or challenges in an effective and efficient manner.
- Discretion and Confidentiality: Ability to handle sensitive information with discretion and maintain confidentiality at all times.
- Interpersonal Skills: Strong interpersonal skills, with the ability to collaborate with various departments and interact with clients or customers professionally.
