About the role

We are looking for an organized, experienced, and proactive Retail Store Coordinator to serve as the primary link between Head Office, Store Officers-in-Charge (team leaders), and store branch personnel. This role is responsible for overseeing and ensuring store standards and asset integrity across the company's multiple in-line store branches and kiosks, following up on and following through on reports and action items, and coordinating day-to-day branch operations concerns to head office team leaders for resolution. The Retail Store Coordinator will work closely with the marketing and HR teams to ensure that major head office programs and protocols are properly implemented and followed, and relay feedback and concerns encountered in the field.

Key responsibilities

• Serve as the main communication link between head office staff, store officers-in-charge (OICs/team leaders), and store personnel when it comes to day-to-day mall and store operations concerns


• Follow up and follow-through with OICs and store branches on pending tasks, deadlines, marketing and sales initiatives, and operational concerns


• Maintain operations trackers, calendars, checklists, reports, and contact lists as needed and/or assigned by immediate superiors


• Conduct store visits or rounds to check store operations, standards, and compliance


• Work closely with the HR team to monitor daily attendance reports, incident reports, store updates, personnel recruitment and assessment, and other major action items (e.g. maintenance and repair concerns)


• Work closely with the marketing team to ensure that promotions calendars, sales initiatives, new product releases, product display directives, and other major brand and marketing initiatives are properly communicated and executed by the operations team, and ensure that operations team feedback is relayed in a timely and professional manner


• Coordinate with HR, Finance, Logistics, and other departments regarding relevant branch-related concerns such as physical inventory counts, delivery schedules, etc.


• Work closely with the merchandising team to coordinate store orders, deliveries, stock transfers, expenses

About you

• At least 3 years of experience in office administration, operations coordination, sales coordination, retail operations, branch coordination, or a related role


• Strong relevant experience in retail operations, mall and multi-branch store coordination, reporting, or administration, and coordinating maintenance and minor leasing matters


• Strong people management background, with experience coordinating projects and action items with different teams and departments, conducting performance reviews and appraisals, and basic recruitment, as well as coordination with manpower agencies and contractors


• Working knowledge of Microsoft Excel or Google Sheets


• Able to write clear emails and communicate with stakeholders of different backgrounds in a clear and professional manner


• Organized, detail-oriented, and able to handle multiple tasks


• Able to follow procedures, meet deadlines, and work with minimal supervision


• Conflict management and problem-solving skills


• Flexible, adaptable, and self-motivated
