Qualifikationen

• 1–2 years in executive assistance or recruitment coordination.
• Experience coordinating meetings with multiple participants and competing schedules.
• Proficiency in Google Workspace, especially Calendar and Gmail.
• Excellent written and verbal English communication.
• Strong organizational skills and attention to detail.
• Ability to work full-time on U.S. Eastern or Pacific shifts.
• Reliable internet connectivity.

Aufgaben

• Schedule interviews across recruiters, managers, and interviewers in Greenhouse and Google Calendar.
• Manage interview calendars across U.S. time zones with timely candidate updates.
• Send invitations, confirmations, reminders, and prep materials.
• Handle late or reschedule requests and coordinate alternatives.
• Monitor emails and Slack during shift and respond urgently.
• Contact candidates if late or issues arise during interviews.
• Coordinate with internal stakeholders to resolve scheduling conflicts.
• Maintain candidate records and stages in Greenhouse.
• Assist recruiters with admin tasks including assessments.
• Coordinate onsite interview logistics with office managers.
• Assist with candidate travel arrangements and reimbursements.
• Provide coverage for fellow coordinators when needed.
• Handle confidential information professionally.
