Qualifications

• 5+ years in a Chief of Staff, Executive Assistant, or Operations Specialist role (ideally US-based).
• Willingness to work US Eastern Time hours for real-time overlap.
• Remote work OK from the Philippines or offshore locations.
• Native-level or fluent English with exceptional written communication.
• Ability to build scalable SOPs, structured processes, and documentation.

Responsibilities

• Triage and oversee Hiring & Recruiting Operations; maintain recruitment tracking and outreach communications.
• Oversee Sales Operations: research providers, manage CRM data (HubSpot), draft outreach and meeting materials, extract call insights, support invoicing and closing processes.
• Support Customer Success & Post-Sales Operations: onboarding workflows, clinician rosters, user interviews, workshops, and project timelines.
• Maintain Customer Support Operations: knowledge base, triage issues, manage tickets, dashboards, and product roadmap feedback.
• Assist with Special Projects: research support, product operations, domain/email setups, and self-serve revenue operations.
