Job summary

Allied Network for Neurodevelopmental Advancement is seeking a Scheduling Specialist to support therapy scheduling across ANNA’s clinics. This remote role requires Philippine-based availability during U.S. Eastern Time hours and close collaboration with Clinical Directors and clinical teams.

You will build daily and weekly schedules using Lumary and Excel, respond to real-time changes, and ensure client coverage while optimizing staff utilization and adherence to clinic priorities.

Qualifications

• Prior experience in scheduling, staffing coordination, or healthcare operations (especially ABA or allied health) preferred.
• Strong English communication skills, both written and verbal.
• Exceptional attention to detail and ability to manage shifting priorities quickly.
• Proficient with scheduling software, spreadsheets (Google Sheets/Excel), and time zone coordination.
• Comfortable working independently and during work hours noted above.
• Reliable internet connection and quiet work environment.

Responsibilities

• Schedule Development & Management: Create, maintain, and finalize daily and weekly schedules for full client coverage and staff utilization.
• Respond to Changes: Monitor Lumary texting dashboard and respond to scheduling-related messages; adjust for cancellations or no-shows.
• Staff Optimization & Fair Workload Distribution: Balance hours across BTs; ensure cross-pod coverage only by qualified staff; enforce meal breaks and session durations.
• Non-Billable Time Oversight: Track non-billable time per weekly/daily guidelines; approve activities with Clinical Directors.
• Cross-Functional Collaboration: Align schedules with Clinical Directors and clinical teams; participate in weekly planning meetings.
