Job summary

Somewhere is seeking a Property Management Operations & Communications Specialist. The role combines front-line communications with back-office property operations, including lead intake, inquiries, and managing properties in AppFolio.

You will serve as the primary administrative engine for the Director of Communications, ensuring timely responses, smooth onboarding/offboarding, and accurate financial cycles.

Qualifications

• Fluent written and spoken English and Spanish
• Excellent verbal and written communication with a warm phone presence
• Strong organizational skills and prioritization ability
• Familiarity with property management platforms (AppFolio/Buildium/Yardi) and CRMs (LeadSimple/HubSpot)
• Experience with VoIP tools (RingCentral/Dialpad/OpenPhone) and Notion/Google Workspace
• Willingness to learn via Loom SOPs and step-by-step tutorials

Responsibilities

• Front Desk & Lead Communications: answer calls and greet owners, prospects, tenants
• Phone & Email coverage: manage voicemail and emails daily
• Lead pipeline management: update stages in LeadSimple and reassign properties
• Tenant & Owner support: assist inquiries and coordinate requests
• Property onboarding/offboarding in AppFolio and Drive: set up profiles and agreements
• Tenant lifecycle: handle move-ins/outs, renewals, addenda, and benefits
• Property marketing: draft descriptions and post listings in AppFolio
• SOP execution via Loom videos: follow tutorials for tasks
• Applicant screening: review applications and verify rental history
• Billing, payments & collections: input invoices, pay vendors, track delinquencies
• Month-end: process management fees and owner payouts
• Documentation: update workflows in LeadSimple/Notion and organize records
• Reports: pull required data in AppFolio and monitor projects
• Meetings: assist with quarterly owner meetings and newsletters
