Assistant Property Manager / Property Management Coordinator
Job Overview:
We are seeking an experienced Assistant Property Manager / Property Management Coordinator to support the day-to-day management of a residential property portfolio. This is a hands-on property management coordination role focused on taking administrative and operational tasks off the property management team and ensuring that tasks are completed accurately and on time.
The ideal candidate has strong AppFolio experience, prior experience working with U.S. residential property management companies, and the ability to independently manage tasks from start to finish. This person must be highly proactive, organized, detail-oriented, and resourceful, with strong initiative and follow-through. The successful candidate should be comfortable identifying what needs to be done, taking ownership of tasks, and following through without requiring constant prompting
Key Responsibilities:
- Property Management & AppFolio
- Manage general property management tasks and day-to-day administrative functions within AppFolio
- Set up new properties and maintain accurate property, tenant, and lease information
- Upload and organize property photos, inspection reports, and other documentation
- Monitor and maintain accurate records and ensure timely updates in AppFolio
- Prepare invoices and assist with property-related financial administration
- Process utility bills and tenant chargebacks
- Assist with other administrative and operational property management tasks as needed
- Tenant, Prospect & Owner Support
- Respond to prospective tenant inquiries and coordinate communication throughout the leasing process
- Communicate with tenants regarding property-related matters and follow up on outstanding requests
- Send new tenant welcome communications and assist with tenant onboarding
- Prepare lease renewal documentation and coordinate the renewal process
- Process move-out dispositions and related tenant communications
- Prepare and send delinquency communications and follow up on outstanding tenant balances
- Respond to owner inquiries and provide timely updates as needed
- Maintain professional and timely communication with tenants, owners, prospective tenants, and internal team members
- Review property inspection reports and identify maintenance or property issues requiring attention
- Follow up on outstanding maintenance requests and ensure issues are properly addressed through completion
- Gather vendor estimates and coordinate maintenance work with vendors
- Research appliances and obtain owner approval for replacements or purchases
- Coordinate vendors, invoices, estimates, and supporting documentation
- Track maintenance-related activities and ensure timely follow-through
- Escalate issues requiring management attention and proactively communicate important updates.
Required Skills & Qualifications:
- Hands-on experience with AppFolio is required
- Prior experience working with a U.S. property management company is required
- Previous experience as an Assistant Property Manager, Property Management Coordinator, Property Manager, or in a similar residential property management role
- Strong understanding of residential property management operations and workflows
- Experience with tenant chargebacks, utility billing, lease renewals, move-out processes, and tenant onboarding
- Experience coordinating maintenance requests, vendor estimates, invoices, and approvals
- Experience reviewing property inspections and identifying maintenance or property-related concerns
- Experience communicating professionally with tenants, owners, vendors, and prospective tenants
- Strong written and verbal English communication skills
- Excellent organizational skills and attention to detail
- Demonstrated initiative, ownership, and strong follow-through
- Ability to work independently and manage tasks without constant supervision or prompting
- Ability to prioritize multiple tasks and meet deadlines
- Strong problem-solving skills and the ability to proactively identify and address issues
- Ability to manage time-sensitive property management tasks while maintaining accuracy and professionalism
