Qualifications

• 1-3 years of experience as a Project Coordinator.
• Strong command of written and spoken English.
• Excellent attention to detail and time-management skills.
• Strong organizational skills, proactiveness, and a growth mindset.
• Proficiency in Microsoft 365.
• Strong team collaboration skills.
• Effective critical-thinking skills.

Responsibilities

• Book-In and Project Setup: manage the bookings inbox and follow-up emails.
• Maintain the bookings register and track activations within the five-working-day SLA.
• Create and manage projects in Synergy from the accepted fee proposal or signed contract.
• Verify stage fees and raise variances with the Project Manager and discipline Directors before activation.
• Issue booking confirmations to the Project Manager and relevant Directors.
• Validate client and invoicing details, including ABNs and contact information.
• Send the book-in package to the client with invoicing forms and related documents.
• Follow up on outstanding invoicing forms and update Synergy.
